Shipping & Receiving Specialist

The Shipping & Receiving Specialist is responsible for coordinating inventory replenishment, processing customer orders, receiving and checking in pumps for the Service Department, auditing service order bins, and supporting the overall day-to-day operations of the warehouse. This position requires strong attention to detail, organization, accuracy, and the ability to work effectively with the Service, Warehouse, and other internal departments.

Key Responsibilities

• Purchase Orders & Inventory
  • Issue purchase orders to replenish inventory based on stock levels, customer orders, and business needs.
  • Review inventory requirements and ensure needed parts and materials are ordered in a timely manner.
  • Process purchase orders accurately and maintain proper documentation.
  • Coordinate with vendors and internal departments as needed regarding orders and inventory.
• Service Department Receiving
  • Receive and check in pumps and related equipment being brought into the Service Department.
  • Verify incoming equipment against service orders and receiving documentation.
  • Ensure pumps are properly identified, labeled, and routed to the appropriate service order or department.
  • Identify and communicate discrepancies, missing information, or damaged equipment.
• Service Order Bin Audits
  • Regularly audit service order bins to verify that parts, materials, and paperwork are properly accounted for.
  • Ensure service order bins are organized and accurately reflect the work being performed.
  • Identify missing, misplaced, or unaccounted-for items and communicate discrepancies to the appropriate personnel.
  • Help maintain accurate inventory and service order records.
• Shipping & Receiving / Warehouse Support
  • Assist the Warehouse team with daily shipping and receiving activities.
  • Receive, inspect, count, and put away incoming materials.
  • Pick, pack, and prepare customer orders for shipment.
  • Assist with loading and unloading shipments as needed.
  • Maintain an organized, clean, and safe warehouse and shipping area.
  • Follow company procedures for handling, labeling, and documenting shipments.

Qualifications

• Previous experience in shipping, receiving, warehouse operations, inventory control, or a similar position.
• Strong organizational and time-management skills.
• High attention to detail and accuracy.
• Ability to work independently while also supporting a team environment.
• Basic computer skills and ability to learn inventory and order-management systems.
• Ability to communicate effectively with vendors, customers, service personnel, and warehouse staff.
• Ability to safely lift and move materials and equipment as required.
• Experience with pumps, mechanical equipment, industrial parts, or a service environment is a plus.

Work Environment

This position is primarily based in a warehouse and service environment and may involve frequent movement between the warehouse, shipping/receiving area, and Service Department. The position may require standing, walking, lifting, and moving equipment or materials throughout the workday.
