Office Manager – Direct Administrative Operations and Financial Bookkeeping for Elite HVAC & Plumbing Services

The Opportunity

You will serve as the operational backbone of our corporate headquarters, steering both the financial bookkeeping and administrative teams to success. This vital position gives you total ownership over high-level accounting workflows and daily office production. You will thrive here by establishing absolute financial accuracy and maintaining a smooth, supportive environment for our internal staff.

How You Will Make an Impact

  • Direct full-cycle bookkeeping operations including accounts payable, accounts receivable, and complex bank reconciliations using QuickBooks.
  • Supervise the daily workflow of internal administrative staff including the customer service representatives and dispatchers.
  • Balance the corporate ledger daily by verifying incoming credit card transactions, check payments, and processing bank deposits.
  • Leverage ServiceTitan software to audit operational data, customer service records, and technician dispatch schedules.
  • Resolve escalated client service issues rapidly to maintain the high local reputation of our business.
  • Execute monthly financial reporting, job costing updates, and payroll administration tasks for the company owner.

Required Qualifications & Experience

  • Proven professional background managing daily operations, personnel, and administrative workflows within an office environment.
  • Extensive, hands-on experience executing bookkeeping, accounts payable, accounts receivable, and financial reconciliations inside QuickBooks.
  • Practical, working knowledge utilizing ServiceTitan software or closely related field service management platforms.
  • Absolute capability to work fully onsite at our corporate facility located in Katy, Texas.
  • Proficient with QuickBooks software.

Preferred Qualifications & Experience

  • 10 years of professional office management and full-cycle bookkeeping experience.
  • Previous administrative leadership experience specifically within the HVAC, plumbing, or mechanical service contracting industry.
  • High School Diploma or GED equivalent with advanced technical certification in accounting practices.
