We are seeking a detail-oriented and organized Accounts Payable Administrator to support our accounting and operations teams.

Position Summary

The Accounts Payable Administrator will be responsible for managing the company's accounts payable process, ensuring vendor invoices are accurately processed and paid on time. This position requires strong attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced construction environment.

Key Responsibilities

  • Review, verify, and process vendor invoices and subcontractor pay applications.
  • Match invoices to purchase orders, contracts, and receiving documentation.
  • Code invoices accurately and enter them into the accounting system.
  • Prepare and process weekly check runs, ACH payments, and wire transfers.
  • Maintain vendor records, W-9 forms, and certificates of insurance.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Communicate with vendors, subcontractors, and internal project teams regarding payment inquiries.
  • Assist with month-end closing activities, including accruals and account reconciliations.
  • Track lien waivers and ensure compliance with company payment procedures.
  • Support job cost accounting by allocating expenses to the appropriate projects and cost codes.
  • Assist with audit requests and documentation gathering.
  • Maintain organized electronic and physical accounting records.
  • Perform general administrative and accounting support duties as assigned.

Qualifications

Required

  • 2+ years of accounts payable, bookkeeping, or accounting administrative experience.
  • Proficiency with Microsoft Excel and Microsoft Office Suite.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong written and verbal communication skills.

Preferred

  • Experience in the construction industry.
  • Familiarity with job costing and subcontractor billing.
  • Experience with accounting software such as QuickBooks, Sage, Foundation, or similar ERP systems.
  • Associate's degree in Accounting, Finance, Business Administration, or related field.

Compensation

$60,000 - $80,000 annually , based on experience and qualifications.
