Office Manager

Taylor Hodson

The Office Manager serves as the central administrative resource for the organization, ensuring the efficient day-to-day operation of the office while providing high-level support to executives and staff. This role combines office management, administrative assistance, vendor coordination, and operational support responsibilities. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilitie

  • Provide comprehensive administrative support to executives and staff, including calendar management, meeting scheduling, travel coordination, and preparation of correspondence, reports, presentations, and other business documents
  • Serve as the first point of contact for incoming calls, emails, visitors, and general office inquiries while maintaining a high level of professionalism and customer service
  • Oversee daily office operations, ensuring an organized, efficient, and productive work environment for employees and visitors
  • Manage office supplies, equipment, vendors, and service providers, including purchasing, inventory tracking, maintenance requests, and facility-related issues
  • Coordinate company meetings, conference room scheduling, employee events, and office functions, handling all logistics and communications
  • Process invoices, expense reports, vendor payments, and office-related expenditures while assisting with budget tracking and cost management
  • Support onboarding activities for new hires, including workspace setup, office orientation, and coordination with internal departments
  • Maintain accurate electronic and physical filing systems, employee records, contracts, subscriptions, and other business documentation while ensuring confidentiality
  • Assist with special projects, data entry, reporting, process improvements, and other administrative initiatives as assigned by management

Qualifications

  • Bachelor's degree
  • 3+ years of experience in office management, executive assistance, administrative support, or a related role
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal communication abilities.
  • Ability to work independently, prioritize competing demands, and meet deadline
  • Strong attention to detail and problem-solving skills
