Travel Support Coordinator (Hybrid)

Location: Morristown, NJ
Schedule: Hybrid (3 days on-site, 2 days remote)
Pay Rate: $20.00 per hour
Hours: 25-30 hours per week to start, with the possibility of increasing to up to 37 hours per week during January and February.

Position Overview

Our client is seeking a highly organized and customer-focused Travel Support Coordinator to provide administrative and operational support to a team of travel specialists. This role is ideal for someone who enjoys client interaction, managing multiple priorities, and working in a collaborative environment.

Responsibilities

• Provide administrative support to assigned travel specialists.
• Communicate with clients via phone and email regarding travel arrangements and requests.
• Attend and participate in regular team meetings.
• Conduct follow-up calls with clients as needed.
• Process revisions and amendments to client agreements.
• Maintain and update hotel rooming lists.
• Review and prepare final travel documentation for travelers.
• Add hotels, visits, and pricing information into internal systems.
• Prepare and send passenger invoices.
• Process passenger cancellations and reservation updates.
• Input air confirmations and flight details accurately.
• Update proposal templates and related documentation.
• Prepare and send quotes and confirmations on behalf of specialists.
• Create and review customized flyers using established templates.
• Respond to help desk calls and emails from travel agents booking online.
• Assist specialists with preparing travel itineraries.
• Perform additional administrative duties as assigned.

Qualifications

• Previous administrative, customer service, travel industry, or office support experience preferred.
• Strong verbal and written communication skills.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple tasks in a fast-paced environment.
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
• Strong customer service orientation and professional demeanor.
• Ability to work independently and collaboratively as part of a team.

Pay Details: $19.00 to $20.00 per hour
