As an Administrative Assistant with Total Rental Center, you’ll help keep branch operations organized, accurate, and moving forward. This role is primarily focused on behind-the-scenes administrative and operational support, with opportunities to step in and assist customers and the sales team when needed. You’ll work closely with branch leadership and team members to process invoices and purchase orders, maintain records, support reporting, coordinate equipment activity, and help ensure customers and vendors receive timely follow-up. What You’ll Do Review invoices and route them to accounts payable for processing Complete data entry and maintain accurate branch records and documentation Assist with reporting related to equipment utilization, fleet status, and operational performance Process purchase orders and support inventory purchasing Assist with vendor account setup, permits, certifications, and required documentation Track overdue rentals and coordinate follow-up with customers Help schedule equipment deliveries and pickups Answer inbound calls and assist with orders and rental transactions as needed Provide backup support to the sales and customer service team during busy periods or absences Help maintain an organized, professional showroom with equipment properly displayed Contribute to a positive and collaborative branch environment Why You’ll Be Successful You’re organized, dependable, and comfortable balancing several responsibilities throughout the day. You pay close attention to details, communicate clearly, and follow tasks through to completion. You enjoy supporting a team and are willing to shift priorities when customers or branch operations need your help. Preferred Qualifications 2+ years of experience in administrative, office, or operations support Experience in equipment rental, construction, fleet operations, or a related industry preferred Strong organizational skills and attention to detail Proficiency with Microsoft Office Experience with rental, inventory, accounting, or ERP systems preferred Comfortable working in a fast-paced environment with changing priorities Strong written and verbal communication skills Professional and customer-friendly approach Experience supporting invoices, purchase orders, reporting, or inventory processes preferred Ability to work independently while contributing to a team environment This position requires frequent sitting and computer work, as well as walking, standing, bending, and reaching. Employees must be able to lift up to 25 pounds and navigate active work areas while following applicable safety requirements. Salary offers are typically made between the entry and midpoint of the range and are based on factors such as experience, education, and internal equity. Pay Transparency
