Administrative Assistant
The American Battlefield Trust, the nation’s premier historic land preservation nonprofit, seeks an organized, versatile and personable Administrative Assistant to support the day-to-day operations of our Washington, DC, office. The Administrative Assistant will work collaboratively with staff from across the organization and will have an opportunity to learn how many parts of a successful nonprofit operate.
Washington, DC (Hybrid Office)
Reports To: Chief Administrative Officer (CAO)
Job Classification: Full-time, Exempt
Serve as the primary responsible party for answering phone calls, primarily from the Trust’s members asking about membership information, either briefly resolving requests or directing them to the relevant party.
Staff the front desk Monday to Thursday, from 8:30 am – 5:00 pm with option for remote work on Fridays.
Sort and distribute email, and take mail from the office to the mail room.
Inventory and proactively order office supplies.
Inventory and order office furniture and incidental office equipment.
Process and provide data entry support for a small number of donation checks.
Schedule visitors in a building management visitor portal.
Provide backfill support for other departmental assistants.
Organize and decorate office spaces, including supply room and kitchen.
Maintain common areas and storage areas within the Washington, DC, office.
Provide accounts payable support, with training.
Provide support to the Chief Administrative Officer and other senior managers, as requested.
Provide additional administrative support as requested by other staff and departments, such as support for planned-giving mailings, social media monitoring, and web-based assignments.
High school diploma required, 4‑year degree preferred.
1‑2 years of internship or work experience preferred.
Experience with a CRM database, preferably EveryAction.
Knowledge of or ability to quickly learn administrative tasks and responsibilities.
Ability to quickly learn Trust staff roles, programs and stances on issues to be able to field and direct inquiries.
Strong customer‑service orientation, patience and tact.
Relationship building and interpersonal skills.
Using earned, owned and paid media, strategic partnerships, advantageous placements and other innovative outreach avenues, you will introduce potential advocates and funders to our cause: saving hallowed ground and helping more Americans appreciate the ongoing resonance of our nation’s history.

Proactively generate attention for the Trust, its programs and initiatives by advancing messaging that defines the brand and expands reach and impact.
Orchestrate logistics surrounding events to support Policy Department programs, such as news conferences, grassroots advocacy briefings and partner workshops.
Maintain and fulfill display advertising calendar, including ideating copy and visuals that provide timely and meaningful updates in worthwhile outlets.
Instill processes for tracking metrics stemming from print and other non‑digital advertising, strengthen the pipeline that converts content consumers into donors.
Advance brand‑building opportunities, including paid media, content marketing, sponsorships and collaborations that introduce new audiences to the Trust’s work.
Write and edit articles, emails, columns and other content about Trust activities for a variety of audiences, outlets and formats.
Ensure appropriate and consistent use of Trust brand and voice and style guide.
Create and produce physical collateral regarding Trust initiatives and programs for battlefields, historic sites and museums aligned with our mission, coordinating placement and fulfillment.
Bachelor’s degree and 3 years of experience in communications and PR, marketing, publications, advertising or other relevant creative field.
Exceptional writing abilities, including mastery of marrying tone and medium, coupled with proficiency in editing for grammar, clarity and succinctness.
An eye for good design – ideally paired with experience in graphic design and visual storytelling platforms.
Proficiency in Microsoft Office suite required; experience with Adobe graphic design platforms desired; knowledge of Drupal CMS and digital asset management valued.
Land Preservation Grants Associate
The American Battlefield Trust seeks a Grants Associate to support efforts to obtain funding from federal, state, and local grant programs to preserve and steward important land throughout the U.Washington, DC (Hybrid Office)

Compile grant applications, including information gathering for application narratives, support documentation, partner support letters, and project budgets.
Work with Trust staff and non‑profit and government partners to assemble historic significance information, mapping, and other documents supporting each grant application.
Assist with the preparation of required documentation for quarterly and annual grant reporting.
Conduct research on new federal, state, and local grant programs for battlefield, historic land, open space preservation, and environmental protection/water quality/mitigation.
At least two (2) years of relevant work experience is required.
Grant writing or grant administration experience is a plus.
Ability to establish excellent working relationships, be detail‑oriented, meet project deadlines, and have superior research and writing skills.
Experience working with Adobe Acrobat and the Microsoft Office Suite.
Interest and experience in the preservation of American historic sites.
Internship Opportunities
The Trust offers paid part‑time internships in our Washington, D.C. office, up to 29 hours per week, as needed throughout the year. Interns will be paid, at minimum, the Washington, DC, minimum wage, which is currently $17.95 hour.

Interns support Civil War and Revolutionary War research, writing, content creation, and image or video editing for the education programs on the Trust website, at events, and in print.
Video Production Internship
Interns assist with film editing, color correction, sound mixing, illustration with images and B‑Roll, adding Trust branding, and building pages on the Trust website for videos.
Policy and Communications Internship
Interns assist with multimedia advocacy and outreach, planning and executing select special events, drafting and distributing news releases, and supporting government and public relations initiatives.
Land Preservation Internship
Interns perform key administrative tasks regarding land transactions, organize digital and physical files, research land transaction records, and assist with grant applications.
Digital Media Internship
Interns assist with social media, marketing, digital video editing, and web publishing to help modernize historical content.
