About the Role
Join an established and growing organization as the Operations Manager for Kaleidoscope ABA. The Center Operations Manager plays an integral role in delivering therapeutic services to children with autism, overseeing daily staff and service management, recruitment, scheduling, customer service, reporting, and general administrative tasks.

Key Responsibilities

Manage day‑to‑day staff and service operations.

Recruit, schedule, and staff clinical cases to meet budgeted hours per client.

Maintain accurate records of staffing and service delivery for each case.

Create, maintain, and manage a master schedule.

Act as liaison between administrative and clinical staff, serving as primary contact for case assignment and staff availability.

Support HR, Operations, and the Clinical department with related functions.

Assist with reporting and other administrative tasks.

Perform additional duties as assigned based on company needs.

Job Qualifications

Successful completion of each essential duty with the ability to react to change productively.

Professional knowledge and experience in business operations, growth, staff scheduling, personnel management, and customer acquisition.

High ethical standards, confidentiality, honesty, and integrity.

Ability to work and communicate with internal and external clients in a polite, courteous, and cooperative manner.

Education
Bachelor’s degree or equivalent work experience. Preferred: Bachelor’s degree in Marketing, Business Administration, or Healthcare Management.

Experience

Five years of management in a professional environment, preferably in medical, behavioral health, PT, OT office or similar operations.

Experience building and retaining customers.

Five to seven years of staff management and development.

Prior Practice Managers and Retail Managers encouraged to apply.

Strong rapport‑building and staff management skills.

Sense of urgency and ability to work independently toward goals.

Excellent time‑management, organization, prioritization, and deadline‑management.

Attention to detail and consistent process administration.

Superb communication and listening skills with management, staff, and families/clients.

Professional appearance and presentation.

Computer Skills

Proficiency in Microsoft Office (Word, Excel, PowerPoint); essential skill.

Proficient in email and Outlook.

Ability to keep accurate records, work in a database, use Excel, and track processes.

Working Conditions

Exposure to constant or intermittent sounds that may cause distraction.

Considerable stress may occur from meeting service requirements.

Hours: 7:30 a.m. to 5:00 p.m.; duties must be fulfilled regardless of hours worked; full‑time required.

Must read/respond to emails and accept calls outside of work hours.
