Description The Property Administrator will administratively support the on-site effort of Shea Apartment Communities with regard to financial, personnel, customer service and owner issues. The Property Administrator, as with all members of the Shea Properties Team, is expected to conduct himself/herself in a manner which demonstrates initiative, professionalism, personal awareness, integrity, and exercises confidentiality in the appropriate areas of his/her performance. The pay range for this position is $26.34 - $31.13 and is also eligible to participate in the annual discretionary bonus plan. Job Duties Professional and skilled communications with residents, site employees and other Shea Divisions to assure coordination. Receive resident calls and maintain resident call data base; facilitate communication and follow-up as requested by Regional Managers. Assist VP’s and Regional Team with calendaring, proofing reports, report preparation and collection, filing, organizing meetings and special events, travel arrangements, expense reports, etc. Support regional accounting tasks – expedite invoices, acquire necessary signatures for approval, invoice coding, etc. Process and create badges for maintenance teams. Maintain and post property reports as required. Maintain SAC Master Calendar and other calendars as requested. Performs other duties as assigned. Technical/Professional Knowledge (Knowledge/Skills, Education, and Experience) Preferred A minimum of two years college. 1-2 years administrative experience Property management experience Mandatory Effective written and oral communication skills. Exceptional customer service skills. Time management and organization skills. Computer proficient knowledge of Microsoft Office products (Word/Excel/Outlook), Yardi knowledge/experience a plus. Team player and ability to work well under pressure. Ability to handle difficult conversations professionally Calendar driven and able to coordinate demands between four regions. Work Environment The Property Administrator works in a professional office environment and interfaces with external/internal customers, vendors, tenants, and public agency staff on a regular basis.This position is scheduled to be worked out of the Aliso Viejo office five days per week. Work hours are scheduled from Monday through Friday from 8:30 a.m. – 5:30 p.m.However, the Property Administrator must be flexible with availability to work flexible hours when needed for the business.Must always maintain professionalism with customers, management and team members as well as successful communication and positive relationship building. Physical Requirements While performing the duties of this job, the employee is frequently required to reach, stoop, kneel, use a telephone system and personal computer.May be required to lift and/or move up to 50 pounds.Must be able to occasionally drive during the course of work.
