Accounts Payable Specialist

Schedule: Monday–Friday | 8:00 AM – 5:00 PM Work Type: Onsite Duration: 3 months Contract (Potential Extension) Job Overview This role is ideal for candidates with a strong Accounts Payable (AP) background, vendor management experience, and commercial property or facilities management knowledge. The position involves invoice processing, contract administration, vendor coordination, compliance, and operational support while working closely with Property Managers and internal teams. Key Responsibilities Process, code, review, and audit vendor invoices , expense reports, and accounts payable transactions. Coordinate vendor onboarding, maintain vendor management records, and communicate with vendors regarding contracts and services. Support contract administration , document management, and data integrity across internal systems. Verify invoice payments, reconcile records, and ensure compliance with company policies and financial procedures. Maintain management and leasing databases, contracts, and property documentation. Coordinate with security personnel, contractors, tenants, and service providers to support daily property operations. Prepare operational reports, forecasting data, and administrative documentation using Microsoft Office Suite . Assist with compliance initiatives, internal audits, onboarding support, and continuous process improvements. Work closely with Property Managers and senior leadership to ensure efficient building operations and service delivery. Required Skills Accounts Payable (AP) Experience Contract Administration Commercial Property Administration Microsoft Office Suite (Excel, Word, Outlook) Data Entry & Record Management Attention to Detail & Organizational Skills Preferred Qualifications 3+ years of experience in Property Management, Commercial Real Estate, Facilities Management, or Property Administration . Experience with Yardi or MRI property management software. Associate's Degree preferred (or equivalent experience). Strong customer service and relationship management skills. Ideal Candidate The ideal candidate has recent experience supporting commercial properties with accounts payable, invoice processing, vendor management, contract administration, and property operations .
