Assistant Division Director (Civil)

Job Description Assistant Division Director (Civil) will assist the Division Director in managing operational activities of the Civil Division. Responsibilities include planning, coordinating, supervising staff, and implementing strategic plans, as well as performing additional duties as assigned. Responsibilities Serve as part of the overall leadership team, oversight of operations across multiple court locations. Evaluate and review court programs, policies, and procedures to maximize effectiveness and efficiency. Respond to inquiries and handle work projects where established policies are insufficient, exercising discretion. Manage Division supervisory staff, meet regularly with managers and supervisors, and ensure efficient service delivery. Select, train, develop, coach, supervise, evaluate, and discipline employees through management and supervisory staff. Identify and implement IT initiatives to improve work quality and operational efficiency, analyze automated systems, and prepare case‑management statistics. Review, interpret and analyze trends, new legal requirements, and pending legislation to determine operational impact. Participate in short‑ and long‑range planning, develop policies, and assist in budget preparation, administration, and monitoring. Serve on court, regional and state committees, foster communication within the court, and act as a liaison with other agencies. Maintain a primary office while working regularly at sites where Division employees are located. Perform other related duties as assigned. Minimum Qualifications OptionI: Two (2) years as a Division Chief with the Superior Court of California, County of Alameda. OptionII: Possession of a Bachelor’s degree from an accredited college or university, and two (2) years of court, legal or public sector management experience overseeing the administration and operations of a division, department or agency. Management experience may substitute for the education on a year‑for‑year basis. Knowledge of: Principles and practices of administration, personnel, supervision and budget management Statutes, rules, regulations, laws, code of ethics governing court operations Legal terminology, forms, and procedures for court support operations Methods of leadership, communication, and project management Problem solving, conflict resolution, workforce development, and customer service practices Employee development, supervision, training, evaluation and discipline Judicial branch operations and relationships with justice partners and community agencies Court case management systems and other technology tools Abilities to: Plan, supervise, coordinate work of others, identify, analyze, and solve problems. Develop, implement, evaluate policies and procedures, and coordinate various court‑related programs. Maintain effective relationships with judicial officers, staff, attorneys, justice partners, ancillary agencies. Set performance expectations, communicate orally and in writing, utilize data for monitoring trends and operational performance. Prepare reports, present recommendations, and develop regular work schedules across multiple court locations. Travel to different court locations and maintain presence where case types are heard. Physical Demands Walking, standing, sitting, climbing stairs; strength, dexterity, coordination, vision to use keyboard and video terminal; hearing, listening, speaking; occasional lifting up to 25 lbs. Travel by car may be required. Working Conditions Daily use of video display terminals, attendance at meetings, responding to emails, work outside normal business hours, occasional evening and weekend hours, statewide travel as necessary. Employment Details FLSA Status: Exempt. One‑year probationary period.
