Business Overview: Corporate & Institutional Banking ("CIB") offers clients capital markets, financing and advisory services. Financial Institutions Coverage ("FIC") is a global coverage organization reporting directly to the Head of CIB. FIC is focused on five institutional client sectors Insurance, Banks & Financial Intermediaries, Investors (Hedge funds, Asset Managers and Pension funds), Official Institutions (including Central Banks and Sovereign Wealth Funds) and Financial Sponsors. As the activities of institutional clients converge across sectors (Insurers/asset managers; financial sponsors/insurance, etc.) the sector bankers dynamically collaborate to ensure the firm understands and is responsive to the client needs as these evolve. The actual salary may vary based upon several factors including, but not limited to, relevant skills/experience, time in role, base salary of internal peers, prior performance, business line, and geographic/office location. - Calendar Management complex agenda and setting of meetings across all time zones
- Schedule and track client meetings and support, including Board and Regulatory meetings
- Domestic & International Travel arrangements; expense claims, expedited travel services
- Coordinate webcasts, video and telepresence conferences as needed
- Preparation and coordination of departmental meetings, events, and Town Halls.
- Creating, editing and preparation of emails, organization charts and presentations.
- Managing logistics for visitors
- Assist with the onboarding process of new hires and transfer candidates.
- Ordering, replenishment, arrangement and distribution of departmental supplies.
- Management of incoming and outgoing phone calls and communications
- Maintain current e-mail distribution lists in Outlook
- Modification and distribution of departmental reports.
- Completion of any reasonable projects or tasks, as requested by management.
- Manage principals' inbox/outbox with extensive follow up as needed
- Utilize several applications, both proprietary systems and the Microsoft Office Suite
- A minimum of 2 + years of relevant experience.
- Excellent calendar management skills, including the coordination of complex executive meetings.
- Well organized, detail oriented, flexible and enjoy the administrative challenges of supporting executive level employees.
- Experience handling confidential materials at all levels.
- Undergraduate degree in related business field of study.
- Knowledge of administrative and clerical procedures and systems, such as MS Word, Excel & PowerPoint.
- Experience in coordinating travel (both Domestic & International) & extensive experience in expense reporting.
- Knowledge of principles and processes for providing customer and personal services.
- Demonstrated ability to quickly learn and become proficient with awide range of software applications, including both proprietary systems and the Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
