Location: Oceanside, CA

Schedule: Monday–Friday, 7:00 AM – 4:30 PM (Full-Time)
Pay: $28.00–$35.00 per hour (DOE)

We are seeking an experienced, detail-oriented Project Billing Specialist to support our construction accounting and operations team. This position plays a critical role in ensuring accurate project billing, maintaining compliance with lien documentation, managing job costing, and overseeing accounts receivable activities.

The ideal candidate has a strong background in construction billing, understands project-based accounting, and thrives in a fast-paced environment where accuracy and organization are essential.

Key Responsibilities

• Prepare and process progress billings and customer invoices accurately and on schedule.
• Manage preliminary notices (preliens), lien waivers, and related documentation to ensure compliance with California construction requirements.
• Monitor project costs and perform job costing analysis to support project profitability.
• Oversee accounts receivable, including invoicing, payment tracking, collections, and aging reports.
• Collaborate with Project Managers to ensure billing aligns with project milestones, contract terms, and completed work.
• Maintain organized billing files and supporting documentation for audits and compliance.
• Research and resolve billing discrepancies, payment issues, and customer inquiries.
• Process billing through SupplyPro or similar construction accounting and project management software.
• Assist with month-end billing reconciliations and revenue reporting.
• Support the accounting team with additional project-related financial tasks as needed.

Qualifications

• Minimum 5 years of construction billing, project accounting, or construction accounting experience .
• Strong knowledge of progress billing, preliminary notices (preliens), lien waivers, and construction compliance.
• Experience with job costing and project-based accounting.
• Solid understanding of accounts receivable, collections, and invoice management.
• Experience using SupplyPro preferred; experience with Procore, Sage 100, QuickBooks, BuildPro, or similar construction software is highly desirable.
• Proficient with Microsoft Excel and Microsoft Office.
• Exceptional attention to detail, organization, and time management.
• Excellent communication and problem-solving skills.
• Ability to prioritize multiple projects while meeting deadlines in a fast-paced construction environment.
