Accounting Specialist Location: Newport Beach, CA (In-Person) Employment Type: Full-Time Position Summary We are seeking a dependable, detail-oriented Accounting Specialist to manage accounts payable, accounts receivable, and related administrative functions across multiple business entities. Majority of this role is accounting-focused, including AP, AR, and financial administration, while a fractopm involves operational and ad hoc support, such as coordinating with vendors, subcontractors, and service providers, assisting with special projects, and supporting business operations as needed. The ideal candidate is proactive, highly organized, accountable, flexible, and comfortable managing multiple priorities in a fast-paced environment. Success in this role requires strong attention to detail, excellent follow-through, and a willingness to take ownership of responsibilities beyond traditional accounting functions. Key Responsibilities Accounts Payable Enter, code, and process vendor, subcontractor, and supplier invoices Prepare checks, ACH payments, and online payments for approval Ensure timely and accurate payment processing Match invoices to contracts, purchase orders, and approvals Investigate and resolve billing discrepancies Maintain vendor records, including W-9s and Certificates of Insurance Monitor outstanding bills and payment deadlines Accounts Receivable Generate and distribute invoices Record and apply incoming payments accurately Monitor outstanding balances and conduct collection follow-up Resolve billing and payment discrepancies Maintain accurate customer account records Accounting & Administrative Support Maintain accurate records in QuickBooks Online Categorize transactions by entity and project Organize and digitize financial documentation Assist with month-end close activities and CPA requests Maintain organized digital and physical filing systems Coordinate with vendors, subcontractors, and service providers regarding invoices, payments, and documentation Assist with operational, project-related, and administrative tasks as needed Support multiple business entities with general administrative and accounting responsibilities Take ownership of special projects and other duties as assigned Qualifications Required 1-3 years of bookkeeping, AP/AR, or accounting support experience Hands-on experience with QuickBooks Online (QBO) required Proficiency in Microsoft Excel Strong data entry skills and attention to detail Excellent organizational, communication, and time-management skills Ability to maintain confidentiality and professionalism Preferred Experience with JobTread Payroll processing or payroll support experience Real estate, construction, property management, or multi-entity accounting experience Associate degree in Accounting, Business, or related field (or equivalent experience) Self-starter with a proactive mindset and strong sense of accountability Compensation & Benefits Competitive pay: $30-$35 per hour, depending on experience Health insurance benefit with employer contribution of up to $500 per month Opportunities for growth and expanded responsibilities Collaborative environment with direct impact on company operations Schedule Full-Time Monday-Friday 8-hour in-person schedule Newport Beach, CA KPG123
