  1. PURPOSE OF JOB AND ESSENTIAL FUNCTIONS

Reporting to the VP of Property Management, the Area Vice President will serve in a pivotal role to support the success of the Dominion Management Group property management team and ensure superior service that is both employee- and resident-focused. This role will lead a team of property managers and support staff as well as be responsible for developing and refining strategies to drive performance, revenue, and manage quality assurance programs. The Area Vice President will oversee both the business operations, to maintain and increase the efficiency of the company, and effectively lead relationship management with internal and external teams. This role will promote the Dominion culture, commitments, and vision throughout both the company and communities managed while following the strategic direction to maximize client satisfaction. The Area Vice President is charged with executing strategically designed processes, workflow, and best practices to shape, guide, and facilitate the development of the Dominion property portfolio.

  1. CULTURAL LEADERSHIP

  • Models and spearheads integration of the Dominion culture and commitments into all aspects of community management.
  • Communicates the Dominion vision and strategy to create alignment between daily activities and long-term strategy.
  • Follows the Dominion Management Group policies, procedures, and standards fully and leads by example.
  • Demonstrates a proven track record of working successfully in a team environment, including leading teams located in multiple communities and regions.
  • Maintains positive relationships by displaying professionalism during interactions with residents, team members, and the public.
  • Must be willing to accept changes of direction in work and priorities with a positive attitude.

  1. PRIMARY RESPONSIBILITES.

  • Oversees and aligns property management to ensure company and owner standards are met in the areas of financial performance, leasing, marketing, maintenance, compliance and employee and resident satisfaction.
  • Responsible for improving existing processes and increase operational efficiency.
  • Conducts regular site visits to provide on-going training and provide additional support to focus properties as needed.
  • Promotes best practices and support with tenant relations, resident disputes, crisis management, conflict resolution, and mediation.
  • Establishes policies and coordinates the efforts of the different operational areas to ensure constancy, minimal duplication of efforts, and to maximize efficiency.
  • Develop and update forms, reports, and company manuals for property management compliance and operations.
  • Manages various monthly operating reports focused on operational key performance indicators (KPI's) including sales performance, budget performance and collection performance.
  • Manages the DMG training program for an expanding portfolio.
  • Educates and trains on day-to-day operations of all activities related to apartment rentals, move-ins, lease renewals to help properties ensure that proper documentation is in place.
  • Develops and trains regional team on best practices for rent collection procedures, including following up with Property Managers to reconcile delinquent accounts.
  • Trains on appropriate security measures, ensuring proper incident documentation and notification to management for all properties.
  • Responsible for submitting all compliance and/or annual reports to state agencies as needed.
  • Monitor property operations compliance (waitlist adherence, tenant file compliance, etc.).
  • Oversee work and implement controls to ensure effective contractor performance, safety, and compliance with contract terms and property rules.
  • Maintain awareness of legislation, regulations and issues that may impact property management operations and disseminate relevant information to staff.
  • Maintain comprehensive knowledge of regulations and act as a resource to all staff on compliance matters.
  • Work with legal team to coordinate or manage any open legal items.
  • Establish procedures to maximize occupancy and regulatory compliance through the minimization of delinquent rent and vacancy loss.
  • Maintain an expert level knowledge and understanding of all Dominion Management Group communities, products, and services.
  • Assist with Rent Café for DMG.

  1. LEADERSHIP & DEVELOPMENT RESPONSIBILITIES

  • Ability to create a climate in which team members want to do their best by leading and communicating a shared vision with associates and providing coaching and development, resulting in a highly effective community management team.
  • Responsible for late life cycle recruitment, including conducting final fit interviews, assisting onboarding, training, mentoring and performance management.
  • Coach managers through developing employee performance and conduct. Establish metrics, monitor progress, and provide feedback on team and individual goals.
  • Manage and approve timecards and PTO requests for the DMG portfolio.
  • Direct and manage resources: contain expenses, allocate workload, schedule and prioritize work.
  • Operate the property in a Dominion-Values-First manner. See to it that service to tenants is prompt and responsive; and that complaints are effectively resolved.
  • Maintain outstanding property appearance. Complete regular tours of the Property to ensure proper maintenance of the facility, efficient and effective performance of responsibilities by staff, contractors, and vendors.
  • Keep track of feedback from tenants. Attain good ratings in tenant satisfaction surveys and lead teams to follow up imperfections with responsive action plans.
  • Facilitate regular meetings with property management staff alongside the leadership of the VP of Property Management.
  • Encourage and support continuous improvement.

  1. FISCAL RESPONSIBILITIES

  • Assist in the review and analysis of annual budgets, including capital expenditures, operating expenses, and revenue assumptions.
  • Understand the market landscape including pricing trends, competitor strengths and weaknesses, and client requirements.
  • Supports the annual budgeting process under the VP of Property Management for managed properties and the quarterly reforecast of budgets, including revenue assumptions, operating expenses and capital expenditures.
  • Maintain cost efficiency including budget cost control for area of responsibility.
  • Remain aware of, review, and approve renewal rates in AIRM.
  • Project needs for capital improvements. Monitor and manage capital expenses.
  1. EDUCATION, EXPERIENCE, LICENSE/CERTIFICATION REQUIREMENTS:
  2. Demonstrated familiarity with profitable multi-family property management is required
  3. BA/BS degree in Business Administration, Finance, or related field, or CAM a plus.
  4. Proven experience in successfully leading and developing teams preferred.
  5. Community Housing and/or Real Estate Development experience.
  6. Ability to read and understand financial statements.
  7. Intermediate to advanced level knowledge with MS Office Suite including Outlook, Word, PowerPoint and Excel (including Excel functions), and Adobe Acrobat Pro.
  8. Experience in Yardi Voyager or other equivalent system is preferred.
  9. Strong office administration skills.
  10. Strong problem resolution skills.
  11. Ability to appropriately handle confidential information.
  12. Strong interpersonal, communication, organizational and time management skills.

  1. PHYSICAL DEMANDS/WORKING CONDITIONS/ENVIRONMENT

  • Normal office duties, filing and storage of records.
  • Must be legally able to operate a motor vehicle, possess valid driver's license and auto insurance, and meet company driving requirements.
  • Occasionally required to climb, kneel, crouch or crawl.
  • Capable of pushing, pulling or lifting up to 25 lbs.
  • Capable of travel time for site visits and meetings, travel 25% or more. Visit portfolio properties on-site (1-2x monthly or as needed).
  • Additional physical demands include: being outside/walking across property in various weather conditions, on feet for an extended period of time, walking up and down stairs, climbing ladder. xhyhwjd
