Executive Assistant to the CEO Location: New York, NY (In person; 4 days on‑site, 1 day remote) Position Overview We are seeking a highly experienced, professional, and proactive Executive Assistant (EA) to provide direct support to our CEO. This high-impact role requires exceptional organizational skills, discretion, and global business acumen. The ideal candidate has 10+ years of C‑suite experience, manages a dynamic international schedule, coordinates high‑level communications, and handles sensitive business matters with diplomacy and efficiency. Key Responsibilities Manage complex global scheduling and email communications across multiple time zones. Serve as the CEO's primary point of contact, filtering and prioritizing communications from senior executives, clients, and board members. Draft and edit high‑level correspondence, presentations, and reports for executive meetings and industry engagements. Handle confidential and strategic business matters with the utmost discretion. Schedule and attend meetings on behalf of the CEO, take minutes, and ensure follow‑ups are completed. Plan and coordinate all aspects of international and domestic travel, including flights, hotels, ground transportation, visas, and itinerary balancing. Monitor and adjust travel schedules in real time to accommodate last‑minute changes. Stay informed of visa regulations, travel restrictions, and international business protocols. Track and manage business expenses, budgets, and resource allocations for executive travel and operational needs. Support executive‑level initiatives by coordinating internal projects and ensuring timely execution. Engage professionally with senior officials, investors, clients, board members, and thought leaders. Act as a trusted representative of the CEO, fostering relationships and ensuring seamless interactions with global stakeholders. Oversee light office administration for the New York office, including supply inventory and vendor coordination. Occasionally handle personal tasks for the CEO while maintaining professional boundaries. Support special projects, strategic initiatives, and new business opportunities as they arise. Assist in organizing high‑profile events, speaking engagements, and industry conferences. Take on additional duties at the request of the CEO to support evolving business needs. Qualifications Required Experience & Capabilities 10+ years of C‑Suite executive support experience, preferably in a global organization. Proven ability to manage high‑profile stakeholders, global clients, and senior leadership teams. Deep familiarity with international travel logistics, including multi‑leg itineraries, visas, and protocol considerations. Bachelor's degree required. Technical & Professional Skills Strong proficiency in MS Office Suite (PowerPoint, Excel, Outlook, Word). Ability to create and edit high‑quality presentations and reports. Exceptional written and verbal communication skills; ability to draft and edit professional correspondence. Highly organized, proactive, and detail‑oriented, with strong problem‑solving abilities. Soft Skills & Professional Traits Polished, professional demeanour — capable of handling high‑pressure situations with discretion. Independent thinker with a proactive mindset — able to anticipate needs and take initiative. Strong judgment and decision‑making skills — able to prioritise effectively in a fast‑paced environment. Customer service‑oriented approach — ensuring seamless interactions between the CEO and global stakeholders. Additional Information Schedule: 4 days in‑office (New York), 1 day remote. Dress Code: Business formal required when in the office and at external engagements.
