Admin Assistant

Job Description Job Description We're looking for a self starter who is able to pivot easily and be able to complete tasks in a quick, efficient manner. This role will report to and assist the Executive Admin to the company. Part time to start (20-30 hours), possibility to full time after 90 days (full time receives PTO, medical benefits) Main Duties and Responsibilities in providing support to the Executive Admin to the CEO · Prepare, compile, and sort documents for data entry in word documents, spreadsheets, etc. · Scan documents into document management systems or databases · Store completed documents in designated locations · Respond to requests for information and access relevant files · Print information when required · Comply with data integrity and security policies · Handle office tasks, including setting up for meetings, keeping the office tidy, and reordering supplies. · Assist with expense reporting · Provide real-time scheduling support by scheduling appointments/meetings/deliveries and preventing conflicts. · Screen phone calls and routing callers to the appropriate party. · Greet and assist visitors. · Maintain polite and professional communication via phone, e-mail, and mail. · Anticipate the needs of others in order to ensure their seamless and positive experience. Education and Experience · High school diploma required, higher education preferred · Proficient in relevant computer applications such as MS Office, Outlook, QuickBooks, Expensify, other platforms · Accurate keyboard skills and proven ability to enter data at the required speed · Knowledge and application of correct spelling, grammar, and punctuation · Knowledge of clerical and administrative procedures · Knowledge or quick acquisition and knowledge of different timesheet and communication programs, accounting software, etc. Key Competencies and Skills · Precise attention to detail an absolute must · Effective communication skills · Efficient planning and organizing · Information collection and management · Utilize problem solving · Decision making skills · Acknowledge and honor confidentiality · Self-motivated, thriving in fast paced and changing environment Company Description We are looking for a new team member that believes in our vision and core values of compassion, integrity, professionalism, passion, reliability, and confidence.
