Intake Coordinator

Job Overview The Intake Coordinator is responsible for processing and documenting calls of inquiry, intakes, admissions, and transfers for Fairview Behavioral programs. Job Expectations Answer inquiry calls in a respectful manner and assess for special needs and/or accommodations. Coordinate and facilitate all inquiry calls regarding the Fairview Behavioral programs. Use excellent telephone etiquette and active listening skills. Document calls. Assess and prioritize calls. Complete client intake process. Assess and triage client admissions using identified admission criteria. Assure insurance reimbursement and authorization. Document complete and accurate demographic and clinical information. Secure information pertinent to the patient visit. Obtain internal and external records when possible. Provide client or referral sources with information regarding the programs. Refer to other programs or community agencies when Fairview services are not appropriate. Secure payment for treatment. Recognize problems and take appropriate measures to resolve. Consult with appropriate resources regarding unique referrals or insurance/authorization discrepancies. Identify patients who ‘no‑show’ to meet risk management criteria. Collaborate with internal and external resources to ensure efficient patient flow. Work in partnership with business office and payers to resolve payer problems and facilitate reimbursement. Act as a liaison between payers, business office staff, patient care providers and site supervisor. Partner with appropriate community liaisons. Monitor patient care provider’s schedules to insure optimum productivity. Coordinate the decision‑making process regarding intakes and waiting lists. Schedule new visits. Provide care or service adjusting approaches to reflect developmental level and cultural differences of population served. Partner with patient care giver in care/decision making. Communicate in a respectful manner. Ensure a safe, secure environment. Individualize plan of care to meet patient needs. Modify clinical interventions based on population served. Provide patient education based on assessment of learning needs of patient/caregiver. Minimum Qualifications to Fulfill Job Responsibilities Required Education Bachelor’s Degree in or 6 years directly related experience in Human Services related field. Experience 2 years clinical experience in Behavioral Field. Preferred Education Master’s Degree in Behavioral related field. Experience 3-5 years clinical experience in Behavioral Field. License/Certification/Registration Crisis intervention training.
