Patient Services Specialist

Overview This is a full‑time, fixed term staff position. The Division of Biokinesiology and Physical Therapy is seeking a Patient Services Specialist to enhance the patient experience at the USC Physical Therapy‑Montrose clinic. The Patient Services Specialist performs a variety of administrative duties in a clinic or practice and provides assistance to patients and to faculty/staff within the clinic. Responsibilities Greet patients and determine the nature of the visit. Register new patients, assign patient IDs, collect patient information, co‑payment, patient account balance, and verify insurance eligibility and coverage level for new and returning patients. Scan IDs, insurance cards, and collect all required forms. Alert practitioners of patient arrival. Verify all insurance via telephone contacts and web inquiries; determine if patients’ insurance is contracted with USC and ensure required authorizations of services are obtained. Receive records and various forms of payment following established policies and procedures; provide records to patients in accordance with established policies and procedures. Screen and prioritize incoming calls, determining contact or action required for satisfactory disposition; respond to inquiries or requests for information or refer to a supervisor as appropriate; receive and transmit messages as appropriate. Schedule and confirm appointments and follow‑ups; inform patients of pre‑authorization components needed for treatment or diagnostic testing; provide callers with appropriate information as needed. Prepare and print welcome, referral, dismissal, and other general correspondence within established guidelines; generate and issue daily appointment scheduler summary of next day and status of pending appointments; update management system with specific patient notes, amounts due upon confirmation call, check‑in, etc.; ensure complete notes of all patient contacts are entered into the management system. Assist as medical chaperone with room and equipment setup and be physically present to assist the provider and/or patient and visualize physical contact between the patient and provider during the sensitive health exam/treatment. Provide administrative support to supervisory and management staff. Maintain a safe environment in accordance with compliance standards, policies, and safety regulations. Ensure patients’ rights to privacy, safety, and confidentiality are maintained in accordance with HIPAA regulations, and with all policies and procedures. Qualifications Minimum education: High school or equivalent. Minimum experience: 2 years in a healthcare environment. Working knowledge of HIPAA compliance and insurance terminology. Demonstrated excellent interpersonal customer service and telephone skills. Demonstrated ability to multi‑task. Demonstrated experience in a high volume, fast‑paced environment. Demonstrated team‑oriented and collaborative work style. Compensation The range for this hourly position is $25–27 per hour.
