Billing Coordinator

Beacon Hill has partnered with a respected law firm in the Washington, DC area seeking a Legal Billing Coordinator to join its Finance and Accounting team. This position will be responsible for managing the complete billing lifecycle for a designated group of attorneys and clients while ensuring compliance with client guidelines and firm policies. The ideal candidate will have prior legal billing experience, strong attention to detail, and the ability to build effective relationships with attorneys, clients, and internal stakeholders in a fast‑paced environment. Job Summary Legal Billing Coordinator Key Responsibilities Oversee the full‑cycle legal billing process, including pre‑bill preparation, editing, invoice generation, and final submission. Review and process billing adjustments, write‑offs, transfers, and client‑specific billing requirements. Maintain attorney rates, billing arrangements, matter setups, and client billing guidelines within the billing system. Prepare, revise, and finalize monthly invoices in accordance with attorney instructions and client requirements. Submit invoices through electronic billing platforms and follow up on rejected invoices to ensure timely resolution. Collaborate with attorneys and legal assistants to address billing inquiries and ensure accurate invoice preparation. Monitor billing deadlines and ensure all invoices are submitted in a timely manner. Assist with collections efforts by researching outstanding balances and resolving billing‑related issues. Generate billing reports and provide analysis to support attorneys and management. Serve as a resource for billing system processes, procedures, and best practices. Requirements 3+ years of legal billing experience within a law firm or professional services environment. Experience managing the full billing cycle from pre‑bills through invoice submission. Proficiency with Aderant, Elite, or other legal billing software. Experience with legal e‑billing platforms such as Legal Tracker, CounselLink, Tymetrix, or Serengeti. Strong understanding of client billing guidelines, billing rates, and alternative fee arrangements. Advanced proficiency with Microsoft Excel, including reporting and data analysis functions. Ability to manage a high volume of billing activity while maintaining accuracy and attention to detail. Strong communication and interpersonal skills with the ability to interact professionally with attorneys and clients. Excellent organization, time management, and problem‑solving abilities. Ability to work independently and collaboratively in a deadline‑driven environment. Preferred Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or a related field. Experience supporting multiple practice groups and complex client billing arrangements. Prior experience assisting with billing process improvements or mentoring junior team members.
