Position Summary
The Office Manager is responsible for overseeing the daily administrative and
operational functions at the Thomas Chiropractic office. This role helps ensure an
efficient, welcoming, and patient-focused environment by coordinating front-desk
operations, scheduling, billing support, team communication, and office organization.
The ideal candidate is professional, friendly, detail-oriented, self-motivated, dependable,
and committed to delivering excellent customer service.
Key Responsibilities
Manage day-to-day office operations to support a smooth and efficient patient
experience for chiropractic and massage patients.
Greet patients, answer phones, respond to inquiries, and maintain a professional
front-desk presence.
Coordinate appointment scheduling and patient flow.
Maintain accurate patient records and support confidentiality and privacy
standards.
Oversee billing support, insurance verification, payment collection, and follow-up
on outstanding balances.
Train and support back-up front office staff as needed.
Monitor office supplies, place orders, and coordinate with vendors and service
providers.
Own basic bookkeeping tasks by tracking expenses.
Help maintain office policies, procedures, cleanliness, and overall organization.
Resolve patient concerns professionally and contribute to a positive, service-
oriented office culture.
Maintain and coordinate indoor and outdoor maintenance and seasonal
decorations.
Continuously evaluates office procedures and implements process improvements
based on feedback, best practices, and organizational needs.
Qualifications
High school diploma or equivalent required; associate degree or coursework in
business, healthcare administration, or a related field preferred.
2+ years of office management or medical office experience preferred.
Strong organizational skills with the ability to manage multiple priorities in a
small-office setting.
Excellent communication, customer service, and interpersonal skills.
Experience with scheduling systems, electronic records, billing workflows, and
Microsoft Office.
Knowledge of insurance processes, payment collection, and healthcare office
procedures preferred.
Ability to handle confidential information with discretion and professionalism.
Self-motivated, dependable, and comfortable working both independently and as
part of a team.
Preferred Experience and Traits
Previous experience in a chiropractic, wellness, or other small healthcare
practice.
Comfort working in a patient-centered environment with a friendly, calm, and
professional approach.
Strong problem-solving skills and attention to detail.
Ability to take initiative, improve processes, and support practice growth.
Work Environment / Physical Requirements
This position typically works in a professional office setting and requires extended
periods of sitting, standing, walking, using a computer, and communicating with staff
throughout the day.
Compensation and Benefits

schedule, and practice needs.
