Sales Support Executive

Job Title: Sales Support Executive and Office Management

Reports to: USA PPF Director

Sales Support Responsibilities

• Support the sales team, RSMs, and Sales Representatives by responding promptly to requests and providing the information and assistance needed to support daily sales activities.

• Manage the complete order cycle, from order entry through shipment, ensuring orders are processed accurately, efficiently, and shipped error-free.

• Monitor turnaround time for sales requests and customer orders, helping ensure requirements are addressed within established service expectations.

• Support the online shop and e-commerce operations, helping ensure the platform functions properly and coordinating offline support for exceptions or issues that cannot be resolved online.

• Assist with stock reconciliation and inventory accuracy, working toward 100% compliance and identifying discrepancies that may impact customer orders or sales activities.

• Track order accuracy and operational performance, with a focus on maintaining error-free processing month over month.

• Coordinate with e-commerce, warehouse, and sales teams to resolve order, inventory, shipment, and online purchasing issues.

• Handle sales order exceptions and special requests, ensuring issues are communicated to the appropriate team and addressed efficiently.

• Maintain accurate sales and order information, helping Sales Representatives and RSMs access reliable product, inventory, and order-status details.

• Provide day-to-day administrative and operational sales support, allowing the sales team to remain focused on customers, business development, and revenue-generating activities.

• Communicate with Distributors, organize material that they might need for events, and assist them with offline orders when necessary

• Travel within states for major exhibitions and events.

• Assist with office management (ordering supplies, office and admin support, etc.)

Qualifications

• Bachelor's degree in Business, Communications, or a related field

• Spanish speaker

• Strong organizational skills, proactive and self-starter

• Ability to work both independently and collaboratively in a fast-paced environment

• Strong organizational and time-management skills, with the ability to prioritize multiple sales requests, orders, and deadlines efficiently.

• Excellent communication and customer service skills, with the ability to effectively support Sales Representatives, RSMs, customers, and internal departments.

• Strong attention to detail and accuracy, particularly in order processing, inventory reconciliation, documentation, and shipment coordination. xhyhwjd

• Proficiency with Microsoft Office and order/e-commerce systems, with the ability to learn new platforms quickly and troubleshoot routine order or online shop issues.

Preferred Skills

• Experience with SalesForce and SAP

• Basic knowledge of inventory and order management

• Experience in B2C and with automotive industry
