Administrative Assistant
We are seeking a dedicated Administrative Assistant to support our team by generating documents and reports for approval and cross-company communication. This role involves creating and maintaining Excel reports using data from internal reporting systems and online sources. The Administrative Assistant will also be responsible for monthly SKU forecasting, considering sales history, seasonality, and other influencing factors.
Responsibilities
- Create and maintain both paper and electronic filing systems.
- Conduct online research to create competitive landscapes in Excel.
- Organize samples and supplies.
- Proofread documents for accuracy.
- Address departmental inquiries from internal and external sources, providing accurate information as per department procedures.
- Perform administrative tasks including answering telephones, organizing schedules, and managing mail and supplies.
- Coordinate mailings for PR efforts, vendor samples, and miscellaneous requests.
- Maintain office supplies and equipment, arranging repairs and ordering supplies as needed.
- Manage department staff calendars to coordinate meetings.
- Implement and update departmental office procedures.
- Assist the department in successfully meeting company goals.
- Help generate documents and reports for approval and cross-company communication.
- Create and maintain Excel reports, pulling data from internal reporting systems (ERP system) and the internet.
Essential Skills
- Proficiency in Microsoft Excel
- Experience with administrative support and data entry.
- Familiarity with ERP systems.
- Strong organizational and clerical skills.
- Proficiency in Outlook.
Additional Skills & Qualifications
- 1-2 years of experience in an office environment in an administrative role.
- Highly self-motivated and self-disciplined.
- Ability to work effectively with little or no supervision.
- Professional demeanor with great attention to detail.
- Process-oriented with strong communication skills, including excellent listening skills.
- Energetic and team-oriented with a positive attitude.
- Bachelor's degree preferred.
- Interest in the skincare, beauty, or cosmetics industry is a plus.
Work Environment
This position is fully onsite near LAX, providing a dynamic and engaging work environment.
Job Type & Location: This is a Contract position based out of Los Angeles, CA.
Pay and Benefits: The pay range for this position is $31.50 - $33.35/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms.
