Mailroom & Office Services Coordinator

We are seeking a customer-focused Mailroom & Office Services Coordinator to support a single-person onsite office services location for a leading healthcare client. This role is responsible for independently managing daily office operations, including mailroom services, shipping and receiving, print services, scanning, hospitality support, and customer service while ensuring service excellence and operational efficiency.

Key Responsibilities

• Manage the daily operations of a single-person office services site.
• Process incoming and outgoing mail, accountable packages, and courier shipments.
• Operate mailroom equipment including mail meters, scanners, copiers, multifunction devices, and imaging equipment.
• Perform shipping, receiving, package tracking, and mail distribution.
• Provide copy, print, scanning, imaging, and document management services.
• Support managed print services and troubleshoot basic office equipment issues.
• Maintain accurate records using Microsoft Outlook, Excel, Word, and Office 365 applications.
• Utilize electronic tracking tools for mail and package accountability.
• Coordinate conference rooms and assist with hospitality services when needed.
• Monitor office supplies and reorder inventory as required.
• Interact daily with client contacts and provide exceptional customer service.
• Create work orders, maintain operational reports, and support facility-related activities.
• Coordinate with vendors, contractors, and facility management as necessary.
• Ensure compliance with service level agreements and company service excellence standards.
• Assist with reporting, data collection, and other administrative responsibilities.
• Perform additional office services duties as assigned.

Required Qualifications

• High School Diploma or GED required.
• Minimum 1 year of mailroom, shipping/receiving, office services, or related experience.
• Minimum 1 year of customer-facing experience.
• Experience operating a mail meter is required.
• Print production or copy center experience preferred.
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Office 365).
• Comfortable using electronic mail and package tracking systems.
• Strong organizational, multitasking, and prioritization skills.
• Excellent verbal and written communication skills.
• Ability to work independently in a fast-paced environment.
• Basic technical aptitude and troubleshooting skills.
