Job Summary

The Facility Coordinator supports both site operations and event execution at Shell Woodcreek campus. This dual-role position is critical to ensure the smooth day-to-day functioning of the facility while also delivering high-quality, well-coordinated events that enhance employee engagement and site culture.

Key Responsibilities:

Site Events

• Communicates with the Houston Site Manager and event support team of event request
• Responds to event inquires within timely manner (24 hours of event request) to begin event coordination process; inclusive of correspondence with event host
• Holds reoccurring meetings with all FM & event support team to include action items. (publish team actions on Friday of each week).
• Complete all activities supporting event actions within a timely manner (5 working days) prior to the event with late event requests 2 business days prior to the event
• Work with Site operations team and safety to ensure event is executed properly.

Site Operations

• Serve as a point of contact for general facility – related inquiries and service requests
• Coordinate with vendors and internal operations for maintenance, repairs and space management.
• Support room scheduling, signage, readiness for high level meetings and business functions
• Monitor and report on facility conditions, ensuring safety, cleanliness, and functionality.
• Assist with space planning, office moves and occupancy tracking.
• Monitor and maintain shared spaces including meeting rooms, break areas, wellness rooms, and fitness spaces
• Ensure compliance with health, safety, and building regulations
• Assist with emergency preparedness and site safety protocols.
• Provide support for AV setup, room readiness, and logistics for high-level meetings and business functions.

Inform Houston Site Manager & team of event request
Contact Host to begin coordination
Reserve meeting rooms / adjust bookings
Evaluate venue suitability
Check for space/room and/or event scheduling conflicts: note VIPs get priority even w/ currently reserved spaces
Note: Condeco reservations are 6 months in advance (max); exception: only EVPs (SEG level) can schedule in advance of 6 months prior to event
Maximize strategic opportunity with another business/ERG
Coordinate A/V/ Executive IT (AV support, etc.) security & safety needs
Complete all event support activities & inform Houston Site Manager
Publish actions (via email & on MS Teams) from event meetings
Hold event meetings & anticipate operational challenges
Manage visitor access
Manage TLC requests (branding, signage, AV, etc.)
Send out site-wide invites; add to event calendars; publish on Viva Engage
Finalize catering (food, beverage, flowers, etc.) & beer/wine requests
