Position Summary We have an exciting opportunity to join our team as a Secretary I - Intake/Scheduler (FGP) - Cancer Center, Rego Park. In this role, the successful candidate will perform a variety of front‑end administrative tasks to support practice operations, including greeting patients, answering calls, scheduling patient appointments, and other administrative duties as needed. Job Responsibilities Schedules appointments for visits, treatments, and procedures; reviews appointment confirmations; manages waitlists; communicates visit details and forms to patients. Obtains authorizations for services; answers calls and takes messages; addresses questions or routes messages to appropriate contacts; handles faxes and mail. Prepares standard letters and forms; performs administrative physician and practice support tasks. Demonstrates knowledge of patient experience expectations and service standards; incorporates them into duties. Supports patient access activities—greeting patients, collecting information, answering questions, directing assistance. Turns phone calls appropriately; provides information, takes messages, redirects calls. Maintains professional relationships with physicians, nurses, and office staff. Prioritizes assignments and completes work timely amid changing workload and pressures. Utilizes appropriate vocabulary and grammar to communicate with patients, physicians, nurses, and staff in person, over the phone, in writing, and electronically. Participates in staff training on registration and office policies and responsibilities; may assist and train less senior staff. Reviews in‑basket messages and patient emails before routing to the correct provider. Provides non‑clinical instructions for upcoming appointments or procedures; promotes MyChart sign‑up. Follows scanning guidelines and best practices for importing outside documents, results, records, and forms. Reviews waitlist periodically and ensures patients are called and offered appointments. Reschedules patients when physicians are unavailable or schedules need blocking. Organizes and distributes mail and faxes. Has general knowledge of the practice’s physician specialty, including conditions, treatments, and scheduling scripts. Manages physicians’ calendars; creates and sends calendar invites; releases medical records according to HIPAA and FGP ROI procedures. Documents disclosures in Epic and fulfills requests within a 10‑day timeframe. Processes incoming and outgoing documents via paper and electronic records; scans, uploads, and forwards appropriate information within Epic. Completes forms legibly and accurately; secures appropriate signatures and forwards documents to correct destination. Follows up with physicians on any outstanding patient‑care messages. Answers patient questions to ensure understanding and satisfaction; refers to senior staff when appropriate. Maintains confidentiality; refers medical diagnosis or treatment queries to RN/provider; refers surgical and infusion scheduling to Senior Medical Secretary. Prepares routine memoranda, letters, labels, manuscripts, correspondence, and other documents. Reviews work for accuracy and completeness; receives prescription refill requests and coordinates with RN, LPN, or provider to process renewals. Communicates with pharmacies and patients to clarify prescription questions and concerns. Initiates and follows up on pre‑authorizations and appeals; arranges peer‑to‑peer communication as needed; manages patient, referral, and authorization work queues. Obtains and documents referrals received in Epic; collaborates with other NYU Langone sites to ensure seamless care continuation. Remains current on best practices, policies, and protocols; completes special projects, reports, and activities; brings problems or questions to supervisory attention. Maintains cleanliness of personal and patient space; restocks supplies as needed. Communicates scheduling instructions, clarifications, status updates, and referral information to patients. Patient Experience and Access Serves as NYU Langone Health Faculty Group Practice brand ambassador, upholding the mission, vision, and values and promoting excellence in patient experience during every encounter; drives consistency in every patient and colleague interaction by embodying the core principles of FGP Service Strategy CARES. Greets patients warmly and professionally, explains each step of care; collaborates with colleagues and site management to ensure a positive experience and timely resolution for all interactions, using the LEARN model for service recovery. Shares ideas and observations to improve patient experience and access; partners with Patient Access Center and Central Billing Office team members. Takes a proactive approach to ensure practice staff fully understand Access Agreement gold standard principles. Performs other related duties as needed by providers and supervisor. Minimum Qualifications High school diploma or equivalent; excellent organizational, interpersonal, verbal and written communication skills; strong customer service orientation; basic knowledge of word processing, spreadsheets, database, and internet applications; accurate light keyboarding; ability to complete multiple tasks efficiently in a team environment focused on a positive patient care experience. Preferred Qualifications Intermediate knowledge of computer‑based scheduling and appointment programs.
