Secretary (25 hrs./wk., 200 days)

Summary Description Under general supervision, performs a wide variety of clerical work in maintaining the daily, periodic, and recurrent functions of an office. A Secretary may prepare purchase orders and correspondence, maintain electronic files and reports, process the mail, serve as the primary contact while working with students, teachers, the public, and District personnel, perform basic statistical tabulations, and assist with bookkeeping, financial record keeping, student attendance accounting, and registration. Performs other related duties as assigned to ensure the efficient and effective functioning of the office and/or department. Duties & Responsibilities Assists in the development of office policies and procedures; interprets rules and regulations for students, parents, employees and the general public; trains personnel in office duties and procedures; makes recommendations to administrators concerning school or departmental procedures and clerical personnel matters; tabulates statistical data and verifies information; greets visitors; screens callers; answers questions concerning school or district procedures or directs the public to the appropriate individual; sorts and distributes mail; arranges appointments; prepares and distributes or maintains all related entry and exit forms; maintains records of department personnel, their locations and telephone numbers and relays messages; maintains calendars, schedules appointments, meetings and conferences; issues transcripts; prepares and maintains forms, reports, files or other documents and examines them for accuracy and completeness and resolves errors and omissions; composes non‑technical correspondence and prepares letters, forms and reports from plain or rough copy, or established format; payrolls; maintains financial and statistical records; engages in cash transactions in accordance with prescribed procedures; receives requests for records, such as transcripts, and fulfills those requests in a timely manner. Additional Responsibilities When Assigned To a School Reviews all incoming variance information from inside and outside the District, verifies that the information is accurate and complete, records variances and prints reports; directs telephone calls regarding variance zones; maintains student variance information database and prints reports of all variances; develops annual variance summary report; responds to subpoenas authorizing release of student information; describes Privacy Act Law to individuals requesting information and verifies that records are being released to authorized individuals. Employment Standards Education/Experience: Any combination equivalent to education and experience that could likely provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and experience would be: Equivalent to a high school diploma. Three (3) years of recent records‑keeping and responsible secretarial experience. Knowledge of: Operating standard office equipment including pertinent software applications; preparing and maintaining accurate records; analyzing; problem solving; good grammar, spelling and vocabulary; performing simple mathematical computations; basic bookkeeping and financial record keeping; understanding of District and school rules, regulations, policies and operating procedures. Skill at: Working with a minimum of direction; providing good and responsive customer service; establishing and maintaining effective working relationships; communicating with diverse groups; displaying tact and courtesy; maintaining confidentiality; setting priorities; being attentive to detail; adapting to changing priorities; and working with frequent interruptions. Salaries are subject to adjustment and may increase and decrease each fiscal year. Additional Job Information New employees will be fingerprinted upon hire and every five years thereafter and will have a deduction from the first paycheck to cover fingerprinting costs. Non‑licensed employees will have a deduction when fingerprints are completed each five years. Fingerprint fees are subject to change.
