Program Business Manager This Business Operations Program Manager will assist in coordinating, providing input for, monitoring, and improving the administrative, human resources, and Program operational activities for a division or other department sub-unit with teaching, research, and Program service responsibilities. Assists in planning, implementing, and evaluating a variety of activities and special projects affecting the area’s operations. Coordinates or assists in preparing departmental budgets and forecasts of future budget requirements. May ensure that awarded grants conform to defined budget parameters. Negotiates new and renewal contracts with vendors. Directs logical and clerical support activities and coordinates specific data collection efforts and special projects. Designs and generates reports. May supervise staff. Reports directly to the Department Administrator and indirectly to the Chair. Performs related responsibilities as required. This position reports directly to and supports the Department of Medicine’s Administrator in support of the Chief of Medicine. Department liaison to Grady-based faculty, staff, and Service Chiefs, Grady Administration, and the Emory Associate Dean of Program Affairs and their staff. This position is assigned primary administrative and management support of Medicine divisions’ operations based on the Grady campus and works integrally with the Division Director, Service Chief, and Division Administrators with the purpose of providing superior service and management of our Grady Operations. Responsibilities Routine review of service by Division and Provider – Productivity (wRVUs, volumes). Monitoring of physician deployment – Alignment of FTE, Schedules, Earnings distribution. Review of Grady FTE in the EPSI budgeting system. Quality Measures – Calculation of quality indicators in conjunction with Grady Service Chief. Reviewing and reporting. Routine meetings with Grady clinic managers and Emory Service Chiefs to discuss operational issues. Patient Satisfaction – Work with Service Chiefs to create action plans to address identified issues. Ad Hoc Reporting – Assist faculty by creating ad hoc reports (research, productivity, credentialing). Physician Engagement – Work with Service Chiefs to create action plans to address identified issues. Faculty Meetings – Attend faculty meeting to represent Administration. Annual PPSM Compliance – Monitor compliance with annual completion of PPSM and Grady IC requirements. Faculty Time Record Submission – management of FTR processing. Credentialing and Provider Enrollment – work with credentialing and enrollment staff. Onboarding – Coordinate the onboarding of new Grady faculty and staff with the service chief. Monthly forecasting and trending – Grady accounts (Smartkeys). Liaison with Emory Medical Care Foundation staff for assigned Division(s). Routine review of Transaction Editing System (TES) reports. Grady Budget – responsible for the development and management of Grady budgets. Travel and Expense review and approval for Grady expenses. Payment Requests related to Grady. Journal Entry creation, review and approval related to Grady Smartkeys. Retroactive Salary Transfer – creation, review and approval related to Grady Smartkeys. Emory Express – creation, review and approval related to Grady Smartkeys. Knowledge of physician practice management and revenue cycle. Excellent interpersonal, written communication, time management, and organizational skills. Proficiency in basic accounting, budget management, record maintenance, and report development. Technical skills (computers, MS Office, especially Excel and Word). Problem‑solving, decision‑making, conflict resolution, and negotiating skills. Professionalism, discretion, and confidentiality. Qualifications Minimum Qualifications: Bachelor’s degree in business, finance or a related science field from a regionally accredited college or university. In lieu of educational requirements, experience may be substituted with three years of professional business or management experience. Previous supervisory experience is required. Preferred Qualifications: Previous experience with physician practice or healthcare management is a strong plus. Experience in a collegiate-level academic environment is highly preferred. Ideal candidate will have worked with physician groups previously. Strong database management skills, including queries, data entry and reporting. Experience in a Program setting preferred.
