Tool DEPARTMENT OF HEALTH DIVISION OF DISABILITY DETERMINATIONS INTERNAL AGENCY CAREER SERVICE POSITION TITLE: OPERATIONS ANALYST II POSITION LOCATION: TALLAHASSEE / LEON COUNTY POSITION #: 64083128 SALARY: $36,317.26 - $78,418.23 Your Specific Responsibilities: This is professional work performing a variety of duties in support of the Contract Administrator within the Contract Administration section of the Division of Disability Determinations/Administrative Services office. Maintains the Medical and Psychological Consultants (MCPC) contract files, ensuring appropriate placement of all required documents, receiving, and reviewing monthly invoice packets from MCPCs to ensure outlying area Contract Manager compliance with internal division and Department of Financial Services’ policies. Tracks contract invoice process to ensure completion. Monitors the financial allocations of medical/psychological consultants with the division, including assisting with determining the need for additional funding based on current performance trends. This includes assisting with the completion of all the required forms (DOH 1122/Route Form). Assists the MCPC contract administrator by creating draft documents for new contracts, amendments, renewals, and extensions; creating the corresponding workflow for the Department’s Electronic Contract Routing System, or other designated system; and tracking the workflow through contract execution. Assists with entering data into the various contract systems or applications. Researches and resolves MCPC payment authorization issues and issues involving the contract files. Refers complex MCPC issues to supervisor or designee. Assists with monitoring and coordinating the delivery of workload assistance to other states’ Disability Determinations Services (DDS), ensuring timely and appropriate action is taken by Medical and Psychological Consultants (MCPC). Assists with monitoring and ensuring timeliness of MCPC action on all referrals and other requests for case-related action. This includes informing contract managers of untimely action as appropriate and liaising with division staff and other state DDS contacts. Assists with maintaining the weekly medical/psychological consultant schedule. Researches and processes requests from division staff for manual assignment, reassignment, or un-assignment of MCPC authorizations. Assists with processing and payment of Medical Evidence of Record (MER) invoices. Assists with the MCPC Employee Office Sample (EOS) coordinator for the Tallahassee area. Required Knowledge, Skills, and Abilities: Knowledge of purchasing and contract rules, policies, and procedures; contract management policies and procedures. Knowledge of and ability to use Social Security Administration (SSA) Systems. Skills and abilities to utilize computer, i.e., Microsoft Word, Excel, Outlook, and other software programs, and office automation equipment. Ability to organize and prioritize work. Ability to communicate effectively with others both orally and in writing. Ability to establish good working relationships with others; includes but is not limited to, coworkers, support staff, supervisors, division managers, and contract providers. Ability to monitor and review information from materials, events, or the environment, often to detect problems or to find out when things are finished. Ability to develop plans to accomplish work.
