One of our clients, a well-established and growing law firm in Los Angeles, California, is seeking an experienced Personal Assistant / Legal Secretary with 3–5 years of law firm experience to support attorneys in a fast-paced litigation practice. This is an excellent opportunity for a highly organized professional who thrives in a dynamic legal environment and enjoys providing high-level administrative and litigation support. Position Overview The Personal Assistant / Legal Secretary will provide comprehensive administrative and legal support to attorneys while managing day-to-day office responsibilities. The ideal candidate has extensive experience in a law firm setting, is proficient with state and federal court filings, and is comfortable managing multiple priorities while maintaining exceptional attention to detail. Key Responsibilities Provide administrative and executive support to attorneys. Prepare, proofread, and format legal correspondence, pleadings, and other legal documents. Prepare and electronically file documents in state and federal courts. Maintain attorney calendars and coordinate meetings, hearings, depositions, and appointments. Schedule meetings and manage attorney travel and logistics as needed. Prepare, organize, and maintain trial notebooks, exhibits, and case files. Coordinate trial preparation and assist attorneys before and during trial. Manage incoming calls, emails, and client communications professionally. Organize and maintain physical and electronic client files. Monitor deadlines and ensure timely completion of assigned tasks. Communicate with clients, opposing counsel, court personnel, and vendors. Perform additional administrative and secretarial duties as assigned. Required Qualifications High school diploma or equivalent; associate's or bachelor's degree preferred. 3–5 years of experience as a Legal Secretary, Legal Assistant, Executive Assistant, or Personal Assistant in a law firm. Experience with state and federal court filings. Experience preparing trial notebooks and supporting trial preparation. Strong calendar management and meeting scheduling experience. Excellent written and verbal communication skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Proficiency with Microsoft Office Suite, Adobe Acrobat, Outlook, and legal document management systems. Preferred Qualifications Experience supporting litigation attorneys. Familiarity with legal billing and time entry software. Experience coordinating depositions, mediations, and court appearances. Knowledge of California court rules and filing procedures. Core Competencies Strong organizational and multitasking abilities. Exceptional attention to detail.
