Executive Assistant

A busy, client-facing professional services office is seeking a polished and highly organized Executive Assistant to provide comprehensive administrative and operational support to the President. This role is ideal for someone who enjoys being the right hand to a senior leader, keeping priorities on track, supporting clients, managing schedules, and helping a small office run smoothly. The Executive Assistant will play a key role in ensuring excellent client service, organized day-to-day operations, and timely follow-through on administrative, client service, and business development activities. Key Responsibiliti esExecutive & Administrative Suppo rtManage the President’s calendar, schedule appointments, and coordinate meetings with clients, prospects, and professional partner s.Prepare and organize meeting materials, presentations, reports, and follow-up correspondenc e.Screen and prioritize emails, phone calls, and other communications; respond or route as appropriat e.Maintain accurate client files and records within the CRM system while ensuring confidentialit y.Scan, upload, and maintain both physical and electronic file s.Client Servi ceServe as an initial point of contact for clients, providing friendly, polished, and professional service in person and over the phon e.Greet clients and prospects upon arrival and ensure a welcoming office experienc e.Support client service follow-through by helping assign tasks, track next steps, and ensure items are completed in a timely manne r.Assist with client communications and documentation as neede d.Office Operatio nsCoordinate logistics for client and team meetings, including room setup, technology setup, materials, and other preparatio n.Maintain office supplies and general office organizatio n.Support a busy four-person office with daily administrative and operational need s.Assist with planning and execution of client appreciation events, educational events, and other office activitie s.Project, Compliance & Business Development Suppo rtAssist with special projects including marketing initiatives, client communications, process improvements, and reportin g.Ensure documentation and administrative activities are completed in accordance with internal policies and industry requirement s.Track business development activity, prospect follow-ups, pipeline status, and related metric s.Prepare regular updates and reports for the Presiden t.Daily Check-I nsConduct daily check-ins with the President to review priorities, schedule changes, urgent items, and follow-up need s.Adjust tasks and priorities throughout the day as business needs shif t.Qualificatio ns5+ years of experience as an Executive Assistant, Administrative Assistant, or similar support rol e.Prior experience in financial services, professional services, or another client-facing office environment preferre d.Strong comfort level with technology; CRM experience is highly preferre d.Excellent organizational, time management, and follow-up skill s.Strong written and verbal communication skill s.High attention to detail and accurac y.Proficiency with Microsoft Office and general office technolog y.Ability to handle confidential information with discretio n.Polished, professional, positive, and client-service focuse d.Comfortable working fully onsite in a busy, small-office environmen #J-18808-Ljbffr The Nagler Group
