Payroll Specialist

Position Summary:

The Payroll Specialist will perform all aspects of the payroll cycle and provide support in weekly, monthly and annual closing processes by performing account reconciliations, journal entries and other ad hoc assignments as assigned by the internal Accountant Department and/or the Chief Financial Officer.

Core Duties and Responsibilities:

• Perform all aspects of bi-weekly payroll processing for approximately 300+ employees located in California.

• Act as the main point of contact for all payroll related questions from employees and management.

• Generate ad-hoc and custom reports out of UKG Ready payroll system.

• Process all payroll action forms for new hires, rate changes, terminations and other payroll related changes.

• Process wage garnishments.


• Direct year end W-2 and 1099 reporting and distribution.

• Prepare quarterly and annual worker's compensation reports.

• Prepare monthly reconciliations of payroll bank account.

• Maintain general ledger and prepare monthly reconciliations of general ledger accounts, as assigned.

• Prepare additional month end journal entries, as assigned.

• Assist with annual financial audits and quarterly and annual reporting.

• Other duties as assigned.

• Comply with all Company policies and procedures as applicable.

Requirements

Minimum Education and Experience Preferred:

• High school diploma or equivalent. Holds a credential in payroll administration such as Certified Payroll Professional (CPP) preferred.

• Three or more years of payroll processing experience preferred.

Licenses/Certifications:

• Valid California driver's license, current automobile insurance, and eligibility to drive for the Company preferred.

Knowledge, Skills and Abilities:

• Knowledge of payroll processing. UKG Ready Payroll experience is a plus.

• Proficient with Microsoft Office Word, Access, Excel and Outlook.

• Proficient in QuickBooks accounting software.

• Possesses excellent organizational and communication skills.


• Must be able to prioritize and complete multiple tasks.

• Ability to perform in a positive, courteous, flexible and adaptive manner.


• Able to exercise independent judgment and initiative.


Physical Requirements:

• See well enough (with or without corrected vision) to read fine print, hand-written materials, and a computer screen.

• Speak and hear well enough (with or without assistive device) to converse in person and by telephone.

• Finger, handle, feel, and reach with hands and arms, including ability to use a computer keyboard.

• Have the mobility (with or without assistive device) to stand, sit, crouch, and move from one work area to another.

• Have the strength to lift, carry or push office equipment and supplies used in normal job functions up to 20 lbs.

• Stamina to effectively perform work activities.
