Personal Assistant to High Profile Celebrity Couple

The Personal Assistant to a High Profile Celebrity Couple is a full-time, on-site role based in Colts Neck, NJ. The assistant will be second in command to the Chief of Staff and will assist her with a wide range of day-to-day administrative duties. There will be a 90-day probationary period. Must have a valid driver's license and car to do the commute to Colts Neck, NJ. (no reimbursement for commute) Must be an organizational wizard and have near perfect attention to detail. Hours are 9-5pm, sometimes 5:30pm worst case but must be flexible for overtime as it comes up. Christmas time is a very hectic time, so staff is encouraged not to take time off then, but support PTO other times throughout the year. The property is a casual but well-oiled machine - someone who works well with a team and in a household environment. Must be comfortable with dogs and cats. $120,000 plus overtime (so the role is hourly) 100% paid medical (approx kicks in after a month), no dental or vision. Can participate in NJ's 401k. Responsibilities Assist the Chief of Staff in day-to-day administrative duties. Help manage 3 calendars (daily schedule, monthly calendar, medication calendars). Will help the stylist with prepping and packing for travel (outfits for the female principal). Ordering a high-volume of various supplies for the house and principals. Managing weekly beauty appointments. Keeping track of medicine refills as needed and ordering prescriptions. Creating travel itineraries. Managing a high-volume of personal shopping (including placing orders and handling all returns). Keeping track of all birthdays and ordering flowers/gifts in advance. Shipping out dry cleaning and keeping track of items. Creating monthly expense reports on Excel (very straightforward - mainly just totaling petty cash used each month and sharing with business manager) Assist with maintaining household inventory. Support household staff with logistical needs throughout the day. Help principals pack for any travel and events. Taking clear notes/creating to-do lists. Creating and organizing binders. (Examples are as follows: vacations, events, clothing inventory, property management). Maintain seamless communication between security team, pharmacist, vendors, housekeepers and chefs. Running occasional errands (ex. taking dogs to the vet when needed, picking up beauty products, etc).
