Benefits Coordinator

Description We are seeking a compassionate and detail-oriented Benefits Coordinator to support the administration of clergy and employee benefits within a Catholic, mission-driven organization. This role is centered on serving the health, well-being, and retirement needs of clergy, providing hands-on support for benefits navigation, healthcare coordination, and transitions into retirement. The Benefits Coordinator will act as a trusted resource to priests and clergy, offering guidance aligned with the values of pastoral care, dignity, and service. This position will also collaborate with external partners-including Retiree First-manage Medicare enrollment tracking, leave administration, and participate in departmental projects. Requirements Clergy Benefits & Pastoral Care Support (Primary Focus)
- Serve as the primary point of contact for clergy regarding benefits and care needs, delivering support with respect, compassion, and confidentiality.
- Coordinate Medicare enrollment, supplemental insurance coverage, and retirement transitions for clergy.
- Provide proactive outreach to clergy preparing for retirement, ensuring a smooth and supported transition.
- Assist with insurance claims, appeals, and issue resolution, advocating on behalf of clergy when needed.
- Coordinate care during hospitalizations, rehabilitation stays, and transitions to assisted living or extended care facilities.
- Support prescription management, including medication ordering and resolving coverage or access issues.
- Collaborate with diocesan leadership, healthcare providers, insurance brokers, and vendors to ensure clergy receive appropriate care and coverage.
- Maintain accurate, confidential records of all cases, interactions, and care coordination activities.
- Provide proactive outreach for clergy transitioning to retirement.
- Serve as a primary liaison for retiree healthcare administration.
- Coordinate eligibility, enrollment, and data exchange processes with vendors.
- Troubleshoot and resolve escalated issues related to clergy retiree healthcare coverage.
- Participate in vendor meetings and support continuous improvement of benefits programs.
- Support administration of employee and clergy benefits programs, including medical, dental, vision, and retirement offerings.
- Track and manage Medicare enrollment, ensuring accuracy, compliance, and timely follow-up.
- Respond to benefits inquiries from employees and clergy with a high level of service and professionalism.
- Maintain accurate data in HRIS and benefits systems and coordinate with payroll as appropriate.
- Ensure compliance with applicable regulations (Medicare, ERISA, ACA, COBRA, HIPAA).
- Administration of leave programs, including FMLA, ADA accommodations, and diocesan leave policies.
- Track leave requests, maintain documentation, and communicate updates with employees and clergy
- Support a compassionate approach to leave administration aligned with organizational values.
- Participate in assigned department projects, including audits, system enhancements, and process improvements.
- Assist with reporting, compliance activities, and documentation of benefits and HR procedures.
- Collaborate with HR and diocesan leadership to enhance services that support clergy and employees.
