Benefits Supervisor

The Benefits Supervisor is responsible for the administration, compliance, and continuous improvement of employee benefits programs while ensuring adherence to federal, state, and local regulations. This role oversees benefits enrollment, vendor relationships, invoicing, reporting, FMLA administration, and employee support related to benefits. The Benefits Supervisor also provides leadership to the HR team and serves as a subject matter expert on benefits-related policies and procedures. Note: This operation runs 24/7, and individual schedules are determined by volume and client needs. Weekend availability is required and the facility is only closed three days each year. Essential Duties and Responsibilities Administer and oversee employee benefit programs including medical, dental, vision, life insurance, disability, retirement, and voluntary benefits. Evaluate employee benefit needs and recommend program enhancements based on industry trends, employee feedback, and organizational objectives. Research and analyze available benefit options and coordinate with brokers, consultants, and providers to identify effective solutions. Ensure compliance with all applicable federal, state, and local laws related to employee benefits, including ACA, COBRA, HIPAA, ERISA, and FMLA. Manage and oversee FMLA administration, including reviewing leave requests, tracking occurrences, ensuring compliance, and providing recommendations regarding employee leave situations. Maintain accurate benefit records, enrollment documentation, eligibility updates, and employee status changes. Coordinate new hire benefit enrollments, open enrollment activities, and employee benefit education initiatives. Respond to employee inquiries regarding benefits, eligibility, claims, leave administration, and related policies. Develop and maintain positive working relationships with benefit providers, brokers, third-party administrators, and insurance carriers. Oversee monthly benefit census reporting and benefits invoicing processes. Review, reconcile, and approve benefit billing statements to ensure accuracy and proper accounting. Prepare and distribute reports related to benefits utilization, enrollment trends, compliance requirements, and program effectiveness. Identify opportunities for process improvements and implement best practices within benefits administration. Supervise, train, mentor, and develop assigned HR staff members. Assist with employee relations matters as they relate to benefits, leave administration, and policy interpretation. Maintain confidentiality of employee information and sensitive records. Participate in special projects and perform additional duties as assigned. Knowledge, Skills, and Abilities Strong knowledge of employee benefits administration, leave management, and FMLA regulations. Understanding of federal and state employment laws and compliance requirements. Excellent analytical and problem-solving abilities. Strong attention to detail and organizational skills. Ability to maintain confidential information with professionalism and discretion. Excellent verbal and written communication skills. Ability to effectively communicate with employees at all organizational levels. Strong leadership, coaching, and employee development skills. Experience resolving employee concerns and providing customer-focused support. Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Experience using Human Resources Information Systems (HRIS) and benefits administration platforms. Education and Experience Required Qualifications High school diploma or equivalent. Minimum of 3 years of experience in benefits administration, human resources, or a related field. Previous supervisory or leadership experience. Experience administering employee benefits and leave programs, including FMLA. Preferred Qualifications Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field. Professional HR certification such as PHR, SPHR, SHRM-CP, or SHRM-SCP. Experience in a warehouse, manufacturing, logistics, or distribution environment. Experience with HRIS and benefits management software systems. Must be able to safely work around warehouse equipment including forklifts, pallet jacks, reach trucks, clamps, and scissor lifts. Must be able to use standard office equipment including computers, telephones, printers, copiers, scanners, and other related equipment. Travel Requirements This position may require occasional travel based on business needs.
