This individual operates as an extension of the CDTO, anticipating needs, prioritizing competing demands, and ensuring that the executive’s time, focus, and energy are directed toward the highest-impact work.The role requires high judgment, strong business acumen, and proactive ownership, supporting a global team across multiple time zones while influencing outcomes across senior leaders, executive assistants, and cross-functional stakeholders.This is a high-visibility, high-trust role that directly impacts executive effectiveness and organizational performance.Core AccountabilitiesExecutive Effectiveness & Strategic PrioritizationProactively manage and optimize the CDTO’s time, focus, and prioritiesAnticipate needs 2–3 steps ahead, ensuring readiness for key meetings, decisions, and deliverablesBuild and manage forward-looking cadence across board meetings, SLT, town halls, and key initiativesAct as a thought partner in prioritizing requests, filtering inputs, and escalating critical mattersCalendar Leadership & Operating RhythmOwn and orchestrate a highly complex, global calendar across multiple time zones and senior stakeholdersEstablish efficient meeting cadence and ensure alignment across executive peers and their officesExercise strong judgment in balancing accessibility with focus—protecting time while enabling speedEnable rapid scheduling and decision-making across senior leadershipStakeholder Management & Executive PresenceServe as a key interface between the CDTO and senior leaders, Board members, and external partnersBuild strong relationships across executive assistants and leadership teams to drive alignment and responsivenessRepresent the CDTO with professionalism, discretion, and credibilityAct as a “gatekeeper and connector,” ensuring the right information reaches the right audience at the right timeMeeting Preparation & Follow-ThroughEnsure the CDTO is fully prepared for all critical engagements (materials, context, priorities)Track key decisions, commitments, and follow-ups from meetings and ensure executionCoordinate high-impact events (town halls, leadership meetings) with speed and precisionDrive post-meeting communication and alignment (e.g., recaps, materials, next steps)Communication & Content SupportDraft, review, and refine executive communications (emails, presentations, internal announcements)Ensure messaging aligns with executive intent, tone, and organizational prioritiesSupport development of presentations and materials for leadership forums and key initiativesOperational Execution & CoordinationCoordinate travel, expenses, and logistics with high attention to detail and efficiencyManage collaboration tools and ensure smooth digital workflow across the executive officeEnable seamless coordination across global teams and functionsEnsure timely and accurate execution of all administrative and operational responsibilitiesCulture, Energy & Organizational ImpactBring energy, urgency, and a strong sense of ownership to the roleAct as a cultural amplifier—driving engagement, responsiveness, and accountability across teamsServe as an extension of the CDTO’s leadership style and expectationsHelp create cohesion across a distributed, global organizationKey Performance Indicators (KPIs)Executive time optimization (focus vs. reactive workload)Calendar efficiency and responsivenessMeeting preparedness and follow-through effectivenessSpeed and quality of decision-making supportStakeholder satisfaction (executive team, EA network)Accuracy and timeliness of executionQuality of executive communicationsOrganizational alignment and coordinationQualifications5–10+ years of experience supporting C-level executives in complex, global organizationsProven ability to operate in high-demand, fast-paced environments with multiple stakeholdersExceptional organizational and prioritization skills with strong attention to detailHigh emotional intelligence and strong judgment in ambiguous situationsAbility to anticipate needs and operate proactively with minimal directionStrong communication skills (written and verbal) with executive-level polishExperience managing complex calendars across global teams and time zonesProficiency with Microsoft Office, collaboration tools, and digital platformsHigh level of discretion and professionalism #J-18808-Ljbffr Signet Jewelers Limited
