Job Summary

We are seeking a detail-oriented and proactive Accounting Specialist to join our dynamic finance team. In this role, you will be responsible for managing various accounting functions, ensuring compliance with financial standards, and maintaining accurate financial records. Your expertise in accounting software, financial concepts, and data entry will support the organization’s financial health and operational efficiency.

Duties

• Process customer invoices and progress billing into accounting software and billing systems; track contract amounts, change orders, retention, project reconciliation and payment status.
• Post payments and adjustment ensuring all payments and adjustments are balanced daily.
• Set-up new customer in our system
• Prepare and track conditional and unconditional lien releases and other billing documents requested by contractors.
• Collect & review time records; prepare accurate certified payroll reports for public works projects and submit them by required deadlines
• Maintain payroll classifications, wage rates, fringe benefit information and supporting records for certified payroll.
• Monitor collection accounts to ensure timely follow-up on over-due payments and resolve billing discrepancies through effective client communication.
• Collaborate with cross-functional teams such as accounts payable and project managers.
• Answer incoming calls.
• Performs other duties and special projects as assigned by Accounting Manager

Requirements

• Proven experience in construction project billing.
• Experience with certified payroll and systems such as LCP tracker is preferred but not required.
• Proficiency in Microsoft Office Suite with advanced Excel skills for data analysis and reporting
• Excellent numeracy skills with the ability to perform account reconciliation and account analysis accurately
• Strong attention to detail, organizational skills, and the ability to handle confidential information discreetly
