Interpretation Services Coordinator

Para-Plus Translations is a well-established, family-owned language services company with more than 40 years of stability and success. We are seeking a dependable, organized, and customer-focused Interpretation Services Coordinator to join our Interpretation Services team.

This is a fast-paced coordination and customer service position responsible for scheduling interpreters and supporting clients across medical, legal, educational, social service, and other settings. The ideal candidate is someone who enjoys helping people, solving problems, managing multiple priorities, and staying calm when things get busy.

Work Location: This position is fully on-site and requires regular attendance in our office. At this time, remote or work-from-home arrangements are not available for this role.

Essential Duties & Responsibilities

·         Answer incoming calls promptly and professionally while providing excellent customer service to clients and interpreters.

·         Receive and process interpretation requests by phone, email, web request, and other communication channels.

·         Coordinate and schedule interpreters for on-site, virtual, and telephone assignments.

·         Contact interpreters regarding available assignments and follow up as needed to secure coverage.

·         Communicate with clients and interpreters to confirm assignment details, resolve scheduling issues, and accommodate changes.

·         Effectively manage urgent, time-sensitive, and last-minute requests.

·         Monitor assignments and proactively address scheduling or coverage issues.

·         Maintain accurate client, interpreter, assignment, and scheduling information in company systems.

·         Document important communications, updates, and assignment details accurately and consistently.

·         Prioritize competing requests and adjust quickly when schedules or circumstances change.

·         Work collaboratively with coordinators and management to ensure daily operations run smoothly.

·         Maintain confidentiality when handling sensitive client and assignment information.

·         Perform other duties as assigned.

Qualifications & Requirements

·         High school diploma or equivalent.

·         Strong customer service, communication, and phone skills.

·         Excellent organizational and time-management skills with strong attention to detail.

·         Ability to multitask, prioritize competing requests, and meet deadlines.

·         Ability to remain calm and professional in a fast-paced environment.

·         Strong problem-solving and follow-through skills.

·         Proficiency with Microsoft Outlook, Word, Teams and Excel.

·         Ability to work independently and as part of a team.

·         1+ year of customer service, scheduling, dispatch, coordination, call center, administrative, or related experience preferred.

·         Previous experience in the language services industry is a plus but not required.
