Executive Assistant / Investor Relations at Investment Firm (Hybrid)

Executive AssistantOur client, an established investment firm based in New York City, is seeking an experienced Executive Assistant to support a senior executive and broader team. This is a fast-paced role combining traditional executive support with Investor Relations assistance and relationship management. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing a high volume of competing priorities while working closely with senior executives, external stakeholders, and internal teams.RESPONSIBILITIES:Provide high-level administrative support to an executive and broader teamManage complex calendars and coordinate internal and external meetingsCoordinate complex domestic and international travel, accommodations, and logistics for meetings and conferencesManage and maintain the CRM platform, including updates, meeting tracking, reporting, and other relevant informationSupport Investor Relations initiatives, including organizing and maintaining materials and documentationCoordinate external events, including preparation and follow-upProcess expensesCollaborate with senior executives, external stakeholders, and internal teamsHandle highly confidential and sensitive information with discretionAssist with ongoing additional administrative needs and special projects as neededREQUIREMENTS:Prior executive administrative experience — within an investment environment or similarly fast-paced professional setting is a plusBachelor's Degree or equivalentProficiency in Microsoft Office Suite, particularly OutlookExperience working with CRM platforms preferredProven ability to manage a high volume of concurrent requests in a fast-paced environment while maintaining strong attention to detailHighly organized with strong prioritization skills and the ability to manage competing demands in real timeProactive and resourceful, with the ability to anticipate needs, and take initiativeStrong written and verbal communication skillsComfortable learning and adopting new technology and tools to improve efficiencyCollaborative, positive, can-do attitude with a high level of responsiveness and commitmentSALARY: $125–175K DOE + Discretionary Bonus + Benefits + 401K HOURS: 9:00/9:30am–6:00/6:30pm (DOE) + Flexibility as needed!
