Full-Time Construction Bookkeeper / Administrative Assistant

An established construction company is seeking a reliable, organized, and experienced Full-Time Bookkeeper / Administrative Assistant . This is an in-office position for someone with strong construction-accounting and administrative skills.

AIA invoicing and certified payroll experience are required

Responsibilities:

• Prepare and submit AIA payment applications, including G702 and G703 forms
• Track retainage, contract values, change orders, and billing status
• Prepare and submit certified payroll reports
• Maintain prevailing-wage and payroll-compliance documentation
• Process accounts payable and accounts receivable
• Handle weekly payroll and related reporting
• Perform bank and credit-card reconciliations
• Enter and track job costs using appropriate cost codes
• Prepare invoices, purchase orders, and accounting reports
• Maintain subcontractor and vendor records
• Collect and track insurance certificates, W-9s, contracts, and lien waivers
• Assist with general office administration, filing, telephone calls, and correspondence
• Support management with daily accounting and administrative needs

Requirements:

• Previous bookkeeping experience
• Hands-on experience preparing AIA billing and payment applications
• Hands-on experience preparing certified payroll reports
• Knowledge of prevailing-wage requirements
• Proficiency in QuickBooks and Microsoft Office
• Strong understanding of accounts payable, accounts receivable, payroll, and job costing
• Excellent organization, accuracy, and attention to detail
• Ability to maintain confidential company and employee information
• Dependable and able to work a consistent full-time schedule
• Strong communication and follow-up skills
• Ability to work independently and meet deadlines

Preferred Qualifications:
Previous construction-industry bookkeeping experience

• Familiarity with subcontractor compliance, lien waivers, retainage, and change-order tracking

Position Details:
