Administrative Director, Ambulatory APP Program

Overview

Reporting to the Vice President of Ambulatory Clinical Operations, the Administrative Director I, Ambulatory APP Program works in close alignment with the clinical leaders of the APP program and the Administrative Director of the Inpatient APP Program. The Administrative Director I, Ambulatory APP Program assumes a broad scope of responsibility, including direct oversight and management of on-boarding, credentialing, budget, timekeeping, and recruitment of the Ambulatory APP program.

The Administrative Director I provides fiscal and human resources management and programmatic oversight in support of research and operational missions specific to their assigned areas of responsibility and may be asked to assume additional responsibilities to ensure successful business operations.

Primary Duties and Responsibilities

• Staffing & Workforce Planning: Partner with Chief APPs and Clinical Leaders to assess staffing needs, develop schedules, communicate staffing changes, and monitor staffing levels through regular dashboards and performance metrics.
• Process Improvement & Operational Excellence: Lead and participate in cross-functional process improvement initiatives, identify opportunities to improve efficiency, and serve as a subject matter expert or departmental resource as needed.
• APP Workforce Integration & Collaboration: Partner with host hospitals, HR, Compliance, and internal stakeholders to support effective integration and coordination of the APP workforce across organizations and care settings.
• Strategic Planning & Program Implementation: Serve as a key liaison among Clinical APP Leadership, Ambulatory Operations, and host hospitals to align strategic priorities, support new programs and service lines, and contribute to major organizational initiatives, including the BI collaboration.
• Engagement, Recruitment & Organizational Development: Review employee engagement results and support action planning, collaborate on recruitment efforts, assist with leadership retreats, and provide administrative coverage and continuity across the APP structure during leaves and vacancies.
• Financial Management: Develop and monitor operating budgets, analyze P&L and productivity reports, manage expenses and reimbursements, and identify and resolve financial variances and discrepancies in partnership with Finance and Business Operations.
• Financial & Operational Analytics: Track APP productivity, inpatient/ambulatory sessions, clinical effort, staffing, volume trends, and other key metrics to inform financial and operational decision-making.
• Team Management: Supervises staff. Hires, develops, and manages staff to achieve organizational goals. Sets clear expectations, delivers feedback, and monitors performance for quality, efficiency, and compliance with policies and procedures. Mentors staff, fosters career growth, and cultivates a positive and productive work environment.

• Advanced financial and business acumen, including the ability to manage operating budgets, analyze financial and productivity data, identify trends and variances, and understand research grants, contracts, reimbursement, and cost-sharing arrangements.
• Demonstrated commitment to patient-centered care and access, with an understanding of how operational decisions, staffing models, financial performance, and process improvements contribute to high-quality patient care.
• Proven ability to foster teamwork and develop talent, including mentoring, coaching, knowledge sharing, and creating an environment that promotes accountability, collaboration, and continuous improvement.
• Exceptional customer service and problem-solving skills, with the ability to anticipate needs, navigate complex or sensitive situations, resolve issues effectively, and maintain professionalism while delivering a high-quality experience to internal and external stakeholders.

Minimum Job Qualifications

• Bachelor’s degree required. Master’s degree in business or healthcare administration (MBA, MPH, MHA) preferred.
• 8 years of experience in hospital administration required. 
• Previous managerial/supervisory experience required. 
• Experience in an academic setting preferred.

License/Certification/Registration Required: None

Supervisory Responsibilities: Yes

• Directly supervises Administrative Specialists and Program Administrator (4+ FTE). Administratively responsible for ambulatory APP workforce.

Pay Transparency Statement

The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.

For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
