Executive Assistant

JOB PURPOSE The production of professional, and administrative work products and services. This is achieved through the performance of moderately difficult office tasks requiring computer operation, budget tracking and review of other financial data, drafting, proofing, and typing correspondence and reports, data entry, record keeping, filing and working directly with customers and other county personnel. This position serves as point of administrative functions for the Sheriff’s Office. The position will be the liaison to various Boards and committees, and represent the Sheriff’s Office when in attendance at various meetings and events, providing resources and positive impact to various law enforcement and County partnerships. Performs all other related work as required. This position is full‑time with a full benefits package. Pay for this position is a range of $28.24 to $34.40 per hour. This range reflects the County’s good‑faith estimate of pay for this position at the time of posting. Starting pay is determined based on qualifications, experience, and internal equity in alignment with the County’s step‑based compensation system. QUALIFICATIONS Bachelor’s degree in business, office management or a related field preferred; Five years of progressively responsible administrative or office management experience; Experience working in a county or municipal setting desired; Any equivalent combination of education and experience to be considered. Ability to research and analyze information/data as well as develop and manage small to large scale events and meetings. Ability to speak before large groups. Thorough knowledge of office practices, procedures and terminology. Excellent customer service skills. Basic knowledge of bookkeeping techniques, social media, graphic arts and website maintenance. Must possess exceptional writing and editing skills. Advanced skill and expertise in word processing, database, spreadsheet applications and desktop publishing. Ability to compose correspondence and to prepare, type, and proofread reports as to form and logic flow. Familiarity with rules, laws, procedures, regulations, etc. pertinent to the operations of a law enforcement agency is helpful. Must have the ability to maintain confidential information, maintain, manage and organize complex records, deal appropriately with county officials, employees, and the general public. Must be able to communicate effectively with the public, co‑workers, other employees, departments, and officials, organize time, work independently and accomplish tasks despite frequent interruptions. Must have the ability and be willing to become a notary and dedimus justice within the first 6 months of employment. MAJOR RESPONSIBILITIES Assists agency staff, the public, other county departments, governmental agencies and vendors by furnishing a variety of information and assistance in resolving problems and complaints; performs informational and referral services to the general public; greets all Sheriff’s appointments; receives all telephone and takes messages and/or directs calls to appropriate person(s). Maintains and updates, either manually or by computer, important agency records requiring the careful recording, classification and compilation of information; posts and records information; updates data; checks, sorts, records and files various materials. Serves as the point of contact for the Sheriff’s Office website, working with all agency divisions to keep pages up-to-date. Plays a lead role in the development and oversight of a new Sheriff’s Office webpage. Serves as the point of contact for the Police Athletic League committee, Sheriff’s Advisory Committee and Command Staff. Participates in the analysis, development, and creation of the Sheriff’s Office Annual Budget. Researches creative methods and funding solutions for Sheriff’s Office and/or community projects. Produces the Sheriff’s Office Annual Report. Participates in the creation of the Strategic Plan for the agency. Maintains accurate accounting records by coding, recording, and approving bills, tracks agency expenditures, petty cash, Police Athletic accounts and TRIAD accounts. Researches information in MUNIS database and provides related information and reports as needed. Coordinates and performs law enforcement commissions for Cumberland County Sheriff’s Office personnel and law enforcement agencies within Cumberland County and the Counties in the state. Types/generates and/or proofs, rough draft or general instructions a variety of documents which may include, but not be limited to, correspondence, memorandums, meetings and legal notices, orders, reports, newsletters and agendas. Oversees administrative functions of the department, including but not limited to mass mailings, answering phones, ordering of supplies, conference room scheduling and inquiries, distributes reports, memos, and necessary information to appropriate persons. Creates appointments and maintains calendars of the Sheriff and Chief Deputy. Monitors all command staff calendars. Maintains professional and technical knowledge by attending educational workshops, establishing personal networks and participating in professional societies. Ensures operation of all office equipment; troubleshoots malfunctions; calls for repairs, maintains equipment inventories; evaluates new equipment and techniques. Assists with the research, planning, and coordination of special projects/events. Monitors and creates content for all Sheriff’s Office social media platforms to keep community informed and allow transparency with the public. Follows all agency safety requirements. Assists the Sheriff’s Office divisions with administrative support as needed. Performs similar or related work as required or as situations dictate. Position will remain open until filled.
