Job Title : Receptionist/Administrator Assistant

 

Job Summary : We are seeking a polished, reliable, and professional office receptionist/administrator assistant to be the first point of contact for our law firm. The ideal candidate will have excellent communication skills, a strong customer service mindset, and the ability to multitask in a fast-paced legal environment. This role is vital in ensuring a welcoming atmosphere for clients while supporting the firm's administrative operations.

 

Key Responsibilities :

  • Phone System Management : Answer, screen, and direct phone calls promptly and accurately.
  • Mail Management : Handle incoming and outgoing mail.
  • Client Management : Return phone calls as directed by attorneys and legal staff. Schedule client appointments and attorney meetings.
  • Administrative Tasks : Greet clients, visitors, and vendors in a professional and courteous manner. Assist attorneys and legal staff with administrative tasks as needed. Manage office supplies inventory and place orders when necessary.
  • Confidentiality : Handle sensitive and confidential information with care, following strict protocols to maintain client privacy and data security.
  • Data Entry : Perform data entry, scanning, and filing of client records and legal documents.

 

Qualifications :

  • Education : High school diploma or equivalent required.
  • Experience : Previous experience as an office administrator/receptionist, particularly in a legal setting, is preferred but not required.
  • Technical Skills : Proficiency in using office software (e.g., Microsoft Office). Experience with legal records software is a plus.
  • Communication Skills : Excellent verbal and written communication skills, with the ability to interact professionally with attorneys, staff and clients. Bilingual is a plus.
  • Time Management : Ability to prioritize tasks and manage time effectively in a fast-paced legal environment.
  • Confidentiality : Demonstrated ability to handle confidential and sensitive information with discretion and integrity.
