Opportunity The Executive Assistant works independently with little or no supervision, completing a wide range of executive support duties, sensitive assignments, projects and reports in a confidential and professional manner. The role requires flexibility, proactivity, and an efficient, pleasant attitude. It involves identifying and addressing the needs of the Human Resources and Corporate Affairs teams, performing administrative tasks to keep the company’s workflow running smoothly. Apply Now! Core Responsibilities Works independently with minimal guidance on a variety of projects. Prepares special reports, gathers, summarizes and analyzes data; organizes and maintains correspondence and records, following up on pending matters with limited or no direction. Proactively manages an accurate and detailed calendar for multiple executives; organizes and maintains tasks and projects, ensuring appropriate prioritization of deadlines and organizational developments. Organizes internal and external meetings for multiple executives, including logistical and substantive preparation; manages all travel scheduling and arrangements, anticipating and resolving conflicts independently. Tracks and reconciles monthly credit card statements; completes and submits expense reports and other expenditures accurately and in a timely manner. Accountable for daily, weekly and monthly reporting within the executives’ span of control; prepares reports and presentations; analyzes trends and identifies potential solutions. Manages strategic work product preparation, including presentations, using PowerPoint, Word, Excel and other programs as necessary. Communicates and coordinates executive instructions and desires with various individuals and departments at all levels of the organization, the executive team, the WH Group, external customers and clients. Ensures consistent and efficient interaction with other executive assistants within the organization; demonstrates poise and tact under pressure and handles matters with sound judgment and confidentiality. Provides a forward‑thinking approach to ensure day‑to‑day management decisions keep the organization running effectively. Provides special project leadership and support as needed. Conducts preliminary research on a variety of topics; drafts materials as needed. Travel up to 20% may be required periodically for this position. Performs any other relevant duties as assigned. Qualifications Bachelor’s degree from an accredited four‑year college or university and 3+ years of relevant work experience, preferably in a large multinational company; or equivalent combination of education and experience. Experience acting as a lead by providing training, coaching or mentoring to less experienced staff or by managing a process or project. Writing and editing technical communications for a public audience (may include researching, editing, producing and implementing such documents as news releases, articles, newsletters, websites, social media documents, speeches, etc.). Results oriented with an extremely high level of attention to detail and follow‑up. Organized with proven ability to multi‑task successfully and think differently to drive innovative ideas. Positive, tenacious attitude; strong verbal and written communication and project management skills. Outstanding interpersonal skills and preference for collaboration with proven success working with others; ability to work with high‑profile individuals externally as well as collaborate internally. Ability to be respectful, approachable and team‑oriented while building strong working relationships and a positive work environment; communicate complex concepts and analyses in a clear, concise and compelling manner to all levels of an organization. Ability to work in a highly fast‑paced and often unpredictable environment; works well under pressure and tight deadlines, consistently applying good judgment and sound business decisions. Proven fact‑based analytical and problem‑solving abilities with minimal direction. Experience managing complex event logistics. Strict ability to maintain confidentiality and discretion at all times. Demonstrated strong computer skills with advanced proficiency in MS Office: Excel, PowerPoint, Outlook. Project management certification or training is a plus.
