Human Resources Coordinator

Overview Knowledge Services, a leading multidisciplinary organization in the software, professional services, and cyber security industry, is seeking a Human Resources Coordinator. This role represents a unique opportunity to become a key member of an exciting and growing organization driven by a commitment to excellence, innovation, and a passion for “Serving Those Who Serve Others.” The Human Resources Coordinator provides essential administrative and operational support to the HR Team, ensuring accurate execution of the day‑to‑day HR processes and consistent employee experience. This role is highly task‑oriented and ideal for someone who enjoys structured work, follow‑through, and supporting a busy team through detailed, behind‑the‑scenes execution. The Human Resources Coordinator plays a critical role in maintaining data accuracy, coordinating logistics, supporting employee lifecycle processes, and handling routine HR requests. This position is not a strategic or advisory role, but rather a hands‑on support role that enables the broader HR team to operate effectively and compliantly. Responsibilities Human Resources Coordinator Responsibilities include: HR Administrative Support Provide day‑to‑day administrative support to the HR team, including scheduling, documentation preparation, and coordination of routine HR activities Serve as a first point of contact for basic HR inquiries, escalating questions as appropriate Support HR projects by completing assigned tasks, tracking progress, and ensuring deadlines are met Employee Records & Data Management Maintain accurate and up‑to‑date employee records in HR systems and personnel files Perform routine data entry related to new hires, job changes, terminations, and other employee lifecycle updates Assist in audits, file reviews, and data clean‑up to support compliance and reporting needs Onboarding & Orientation Support Coordinate logistics for new hire onboarding, including scheduling orientation sessions and preparing materials Ensure new hire documentation is completed accurately and on time Support a positive onboarding experience through timely communication and attention to detail HR Operations & Process Support Assist with routine HR processes such as employment verifications, document distribution, and standard reporting Monitor shared HR inboxes and route or respond to requests in a timely manner Prepare and track required compliance documentation (I‑9s, policy acknowledgements, required notices, etc.) Support periodic audits and reporting needs by gathering and validating data Help ensure HR processes are followed consistently and documented appropriately Qualifications Human Resources Coordinator Required Qualifications Strong attention to detail and ability to complete repetitive, task‑based work accurately Comfort working in a structured environment with established processes and deadlines Highly organized with the ability to manage multiple administrative tasks simultaneously Reliable follow‑through and willingness to assist with a wide range of HR‑related tasks Basic proficiency in Microsoft Office (Word, Excel, Outlook) Ability to handle confidential information with professionalism and discretion Preferred Qualifications Prior experience in an administrative, coordinator, or office support role Exposure to Human Resources processes or systems (HRIS, ATS, LMS) Associate’s or Bachelor’s degree in Human Resources, Business, or a related field Role Expectations This role is execution‑focused and involves a significant amount of administrative and routine work Success is measured by accuracy, timeliness, organization, and reliability Ideal for someone who enjoys being a strong support partner and contributing through consistent task completion Benefits Medical coverage, including employer match program for Health Savings Accounts (HSAs) Generous 401k retirement plan with employer match Dependent Care Flexible Spending Account (DCFSA) Employee Assistance Program (EAP) with unlimited usage and visits and wellness program Dental and Vision insurance Company‑sponsored life insurance, with options for additional coverage Short‑ and Long‑Term Disability (STD and LTD) benefits Pet insurance Maternity, Paternity, and Military benefits Baby on Board program Paid Time Off package Company Anniversary Bonus program Professional Development opportunities, including Young Professional Series, Manager Focus series, Cyber Security panels and briefs, and more A+ rated HQ office full of amenities including fitness center, rec room, coffee bars, bike room, café, auditorium, private Mother’s room, and more Knowledge Services is an equal opportunity employer, and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity or expression, pregnancy, age, national origin, disability status, genetic information, protected veteran status or any other characteristic protected by law.
