Construction Administrative Assistant (Bilingual English/Spanish)

Nest Construction & Concrete LLC is seeking a highly organized, dependable, and experienced Construction Administrative Assistant to join our growing team. The ideal candidate will have previous experience working in the construction industry, be fluent in both English and Spanish, and be comfortable managing multiple tasks in a fast-paced office environment.

Responsibilities:

  • Answer phones and communicate professionally with clients, subcontractors, suppliers, and municipalities.
  • Schedule meetings, inspections, and project timelines.
  • Prepare contracts, proposals, invoices, and purchase orders.
  • Track permits, inspections, project documentation, and job progress.
  • Maintain organized digital and physical project files.
  • Coordinate with project managers, field supervisors, and subcontractors.
  • Process accounts payable and receivable.
  • Order materials and coordinate deliveries.
  • Manage emails and company calendars.
  • Assist with payroll and timesheet collection.
  • Follow up with customers and vendors regarding project updates.
  • Perform general office administrative duties.

Qualifications:

  • Minimum 2 years of construction office experience preferred.
  • Fluent in English and Spanish (spoken and written).
  • Strong computer skills (Microsoft Office, Excel, Google Workspace).
  • Experience with construction management software is a plus.
  • Excellent organizational and communication skills.
  • Ability to multitask and work independently.
  • Professional attitude and strong attention to detail.
