Administrative Assistant to the Town Manager and Select Board

Temporary Position, Part-time, 19 hours, $38.10-$39.64 per hour.

The Town of Cohasset is seeking a skilled and detail-oriented administrative assistant to support the Town Manager and Select Board. This role requires strong organizational, communication, and technology skills, with the ability to manage office operations, coordinate meetings, prepare agendas and minutes, and maintain accurate records. The ideal candidate thrives in a fast-paced environment, multitasks effectively, and provides professional, responsive service to staff, boards, and the public.

Position Overview:

Reporting to the Town Manager, and secondarily to the chair of the Select Board, the Administrative Assistant has primary responsibility for managing operations in several different areas of the offices of Town Manager and Select Board, including, but not limited to: organizing meeting materials, and handling general office operations such as processing turnovers, scheduling meetings, responding to inquiries, and liaising with the public. Night meeting availability required.

Key Responsibilities:

Manage daily office operations, including drafting memos and letters, answering phone calls from the public and staff, organizing and maintaining department files, handling incoming mail, and coordinating the Town Manager's calendar.

Provide comprehensive support to the Select Board, including developing agendas, preparing meeting packets, attending meetings, taking detailed notes, producing minutes, managing board and committee appointments, and advertising public hearings.

Operate video and audio equipment for meetings as needed to ensure smooth proceedings.

Oversee central purchasing for assigned departments, including ordering office supplies, coordinating with vendors for printed materials such as envelopes and business cards, and processing invoices.

Assist with a variety of additional tasks, including issuing wedding permits, managing parking permits for town beaches, scheduling conference rooms, and conducting research for projects, licenses, or other administrative needs.

Qualifications:

Minimum Qualifications: High school education or equivalent. Excellent computer skills, including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Ability to follow standardized rules and procedures. Ability to operate office equipment such as computers, calculators, and audio/video equipment. Strong organizational skills and the ability to multitask in a fast-paced environment. Accuracy and attention to detail. Strong customer service, data entry, and typing skills.

Preferred Qualifications: Thorough knowledge of office practices and procedures. Working knowledge of municipal operations and functions. Experience in maintaining organized records and files. Demonstrated ability to prioritize tasks and manage multiple projects effectively.

Compensation & Benefits:

This is a part-time, temporary position, with an hourly rate of $38.10 - $39.64.
