Front Desk Secretary/Receptionist

A&A Search Staffing

The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).

Job Title : Front Desk Secretary

Position Summary

The Front Desk Secretary serves as the first point of contact for visitors, clients, and employees. This role is responsible for providing administrative support, managing front office operations, handling communications, and ensuring a professional and welcoming environment

.Key Responsibilities

  • Greet visitors and direct them to the appropriate person or department
  • Answer, screen, and forward incoming phone calls
  • Manage incoming and outgoing mail, packages, and deliveries
  • Schedule appointments, meetings, and conference rooms
  • Maintain office calendars and coordinate schedules
  • Perform data entry and maintain accurate records and filing systems
  • Prepare correspondence, reports, and other documents as needed
  • Monitor office supplies and place orders when necessary
  • Assist with administrative tasks such as photocopying, scanning, and filing
  • Respond to inquiries from customers, clients, and staff in a professional manner
  • .Ensure the reception area remains clean, organized, and presentable

Qualification

  • High school diploma or equivalent required; associate degree preferred
  • Previous experience in a receptionist, secretary, or administrative role preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
  • Strong verbal and written communication skills
  • Excellent organizational and time-management abilities
  • Ability to multitask and prioritize responsibilities effectively
  • Professional appearance and customer service skills
  • Attention to detail and accuracy
