Administrative Assistant – Restoration & Construction Company
We are seeking an experienced and highly organized Administrative Assistant to support our CEO and help drive daily operations in a fast-paced restoration and construction environment.
Required Experience:
Candidates must have prior office experience working for a restoration, mitigation, reconstruction, or construction company. Applicants without industry-specific experience will not be considered.
Key Responsibilities:
- Manage and coordinate the CEO's calendar, appointments, meetings, and follow-up tasks
- Assist with contracts, proposals, agreements, and project documentation
- Maintain communication with prospective and existing clients; follow up on leads and projects in the sales pipeline
- Serve as liaison between office staff and field personnel to ensure accurate reporting of job progress, updates, and project details
- Handle project intake and collect all necessary documentation, photos, authorizations, and information required to initiate jobs
- Generate work orders and maintain accurate project records
- Coordinate with marketing and sales teams regarding lead flow, project status, and client communications
- Track and manage office and job-related inventory
- Prepare reports, organize files, and maintain operational records
- Provide administrative support to ensure efficient day-to-day business operations
Qualifications:
- Minimum 2 years of administrative experience in the restoration or construction industry
- Strong understanding of restoration/construction workflows and project documentation
- Excellent organizational, communication, and multitasking skills
- Proficiency with Microsoft Office, Google Workspace, and construction/restoration management software preferred
- Ability to work independently, prioritize tasks, and maintain confidentiality
- Detail-oriented with strong follow-through and problem-solving abilities
