Office Manager

Hunt Day Engineering

We are seeking an organized, proactive, and detail-oriented Part-Time Office Manager to keep our daily operations running smoothly. In this role, you will be the backbone of our administrative efforts—managing client communications, assisting with basic bookkeeping, and helping coordinate public agency submittals. The ideal candidate is a self-starter who thrives in a collaborative environment and enjoys keeping a professional office organized and efficient. Responsibilities 1. Office Administration & Operations Maintain a clean, organized, and fully stocked office environment (ordering supplies, managing mail, coordinating with office vendors). Manage the principals’ calendars, schedule meetings, and assist in preparing travel or event arrangements when necessary. 2. Project & Submittal Support Assist Project Managers with formatting, printing, and assembling formal submittal packages (e.g., permit applications, site plans, drainage reports) for city and county agencies. Maintain the digital and physical project filing systems, ensuring all project directories, CAD files, and client correspondence are archived consistently. Help track and log Requests for Information (RFIs), project deadlines, and permitting milestones. 3. Billing & Basic Bookkeeping Assist with monthly client invoicing, expense tracking, and credit card reconciliation using accounting software (e.g., QuickBooks). Follow up on accounts receivable and coordinate accounts payable with the external accounting team or CPA. Assist in drafting client proposals, professional services agreements, and change orders using standard company templates. #J-18808-Ljbffr
